Conference Meeting Planner

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Conference Meeting Planner based in the United States.

This role is responsible for end-to-end coordination and execution of high-profile virtual and in-person conferences designed for senior executives and industry decision-makers. You will oversee all logistical components of events, ensuring seamless delivery from planning through onsite execution. Working in a fast-paced, international environment, you will coordinate vendors, speakers, sponsors, and internal teams to create impactful and engaging conference experiences. The role requires strong organizational discipline, attention to detail, and the ability to manage multiple complex events simultaneously. You will serve as a central point of contact across all stakeholders, ensuring communication flows smoothly and deadlines are consistently met. This position is ideal for a proactive, solutions-oriented professional who thrives in event-driven environments and enjoys bringing large-scale experiences to life.

Accountabilities
  • Manage full conference lifecycle from planning to onsite execution, ensuring timelines, deliverables, and operational requirements are met across multiple simultaneous events.
  • Coordinate all event logistics including venues, hotel blocks, travel arrangements, catering, audiovisual needs, transportation, shipping, and production materials.
  • Act as the primary liaison for vendors, speakers, sponsors, attendees, and internal teams to ensure alignment and smooth execution.
  • Oversee registration processes, event databases, documentation, and logistical tracking to maintain data accuracy and operational visibility.
  • Support contract review, budget tracking, and expense monitoring while ensuring cost efficiency and adherence to event budgets.
  • Prepare and distribute event communications, schedules, operational plans, and briefing materials for all stakeholders.
  • Travel onsite to support live events, troubleshoot issues in real time, and ensure a high-quality attendee experience.
  • Collaborate closely with cross-functional teams including production, marketing, sponsorship, audience development, and operations.
Requirements
  • 3+ years of experience in conference planning, event management, hospitality, or meeting coordination.
  • Strong project management skills with the ability to manage multiple complex events under tight deadlines.
  • Excellent organizational skills with a high level of attention to detail and accuracy.
  • Strong communication skills, with the ability to interact professionally with executives, vendors, and clients.
  • Experience coordinating travel, accommodations, and vendor relationships for large-scale events.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint); familiarity with CRM or event management platforms is a plus.
  • Ability to work independently in a remote, fast-paced, and deadline-driven environment.
  • Willingness and ability to travel for onsite conference execution.
  • Bachelor’s degree preferred and strong English proficiency required.
