Location: Remote (India)
Job Type: Full-Time | Independent Contractor
Work Schedule: Monday–Friday | 8:30 AM – 6:00 PM EST (1-hour lunch)
Compensation: USD $400/month during the 3-month trial period, increasing to USD $500/month upon successful completion of the trial.
Fiesta Health is a growing autism therapy provider serving children and families across Georgia. We are looking for a highly organized Administrative Assistant / Scheduler to support our clinics operation by managing schedules, maintaining accurate records, monitoring compliance, and preparing daily operational reports.

ResponsibilitiesSchedule Management- Add and edit client schedules in Artemis based on team updates
- Process same-day schedule changes for clients, RBTs, and BCBAs.
- Update client pick-up and drop times.
- Add or modify nap times and speech therapy sessions.
- Schedule non-billable appointments as needed.
- Review and maintain daily client appointments.
- Update RBT and BCBA appointments.
- Identify and resolve duplicate appointments.
- Process client and provider appointment cancellations
- Review previous appointments for accuracy.
- Ensure appointments align with active authorizations.
- Add session notes for incomplete appointments.
- Generate incomplete session note reports.
- Distribute reports to the team via Slack and Sling/Google Chat.
- Generate daily appointment reports from Artemis.
- Calculate and encode client attendance and service hours.
- Maintain the daily reporting spreadsheet.
- Generate weekly service reports and update the service scorecard.
- Track client and staff attendance
- Verify active client authorizations before services are delivered.
- Maintain RBT and BCBA certification expiration dates.
- Monitor scheduling data for accuracy and completeness.
- Maintain accurate documentation across multiple systems.
- At least 1 year of administrative, scheduling, or healthcare support experience.
- Excellent attention to detail.
- Strong organizational and time management skills.
- Experience with Microsoft Excel or Google Sheets.
- Comfortable working with reports and data.
- Strong written and verbal English communication skills.
- Ability to work independently while managing multiple priorities.
- Comfortable learning new software and following established processes.
- Experience with healthcare scheduling.
- Experience using EMR/EHR or scheduling software.
- Experience using Artemis.
- Experience using Slack and Sling.
- Experience with authorization or compliance tracking.
- Laptop with at least:
- Intel Core i5 (or equivalent)
- 8 GB RAM
- Webcam
- Reliable internet connection (minimum 25 Mbps).
- Quiet home office suitable for video meetings.
