Description:

The Senior Event Coordinator is responsible for planning, managing, and executing a diverse portfolio of member-focused events that foster engagement, learning, philanthropy, and community within the Washington Athletic Club. This role serves as the primary staff liaison for the Learn & Grow, Engagement Team, and WAC Gives Back committees, partnering with volunteer leaders to develop and deliver impactful programming. The position also leads the planning and execution of the Club's annual Jubilee Casino, seasonal celebrations, signature member events, and other special projects throughout the year.

Key Responsibilities

· Plan, coordinate, and execute educational, social, networking, philanthropic, and seasonal events.

· Serve as the staff liaison to the Learn & Grow, Engagement Team, and WAC Gives Back committees.

· Lead the planning and execution of the annual Jubilee Casino event and other signature Club programs.

· Manage event logistics, timelines, registrations, room setups, vendors, entertainment, catering, and on-site operations.

· Develop and distribute event communications and promotional materials.

· Monitor event budgets, process invoices, and track financial performance.

· Collaborate with internal departments to ensure seamless event execution and exceptional member experiences.

· Evaluate event success and provide recommendations for continuous improvement.

· Support additional Club events and special projects as assigned.

Qualifications & Skills

· 3+ years of event planning, hospitality, club, nonprofit, or related experience; private club experience preferred.

· Proven ability to manage multiple events and projects simultaneously.

· Strong organizational skills and exceptional attention to detail.

· Excellent interpersonal, customer service, and relationship-building skills.

· Outstanding written and verbal communication abilities.

· Experience working with volunteer committees, boards, or member-led organizations.

· Strong project management and problem-solving skills.

· Ability to work independently while collaborating effectively with cross-functional teams.

· Proficiency in Microsoft Office Suite and event management/registration platforms.

· Ability to work flexible hours, including evenings and weekends.

· Positive, professional, and service-oriented approach with a passion for creating memorable experiences.
