As a Project Coordinator on the RWJBarnabas Health Planning, Design & Construction team, you'll work closely with Project Managers, internal teams, vendors, consultants, and other stakeholders to help keep projects organized, on schedule, and moving forward.

As a Project Coordinator, a typical day might include the following:
- Supporting Project Managers with the coordination and delivery of capital projects and special requests.
- Creating capital requests and uploading supporting documentation within the capital approval system.
- Facilitating standard agreements and contracts with vendors and consultants under the direction of Project Managers.
- Obtaining quotes, preparing purchase order requisitions, processing invoices, and following up on payments and check requests.
- Identifying and helping resolve invoice, payment, and documentation discrepancies.
- Creating project reports by gathering and exporting information from internal capital, financial, and project management systems.
- Organizing project documentation and maintaining accurate, current records to support reporting and record retention requirements.
- Uploading project documents into applicable project management systems and ensuring information is properly filed and accessible.
- Supporting project scheduling, logistics, and coordination activities to help projects remain on track.
- Serving as a liaison between Project Managers, internal departments, vendors, consultants, and other external partners.
- Coordinating minor moves and relocations associated with capital projects.
- Recording meeting minutes and maintaining detailed notes, action items, and project information.
- Responding to ad-hoc project requests and adapting to changing priorities as project needs evolve.

To be considered for this opportunity, you must have a Bachelor's Degree or equivalent combination of education and related experience. You must possess at least two years of experience as a Project Coordinator, Project Administrator, or in a similar role supporting an architectural, engineering, design, construction, or related organization. Experience coordinating multiple projects with firm deadlines and strong organizational skills and exceptional attention to detail is required. Must have proficiency with Microsoft Office, including Word, Excel, PowerPoint, Outlook, and related applications and the ability to communicate, organize, interpret, and present project information to colleagues, leadership, end users, and external contacts. Preferred qualifications include a Bachelor's Degree in Architecture, Engineering, Construction Management, or a related field. Previous experience supporting projects in a healthcare environment or other complex facilities strongly preferred. Familiarity with project management and business systems such as Kahua, Workfront, and PeopleSoft and experience with PDF editing software such as Bluebeam Revu.
