Sleep & Attention Disorders Institute

Location: Sterling Heights, Michigan

Job Type: Full-Time, In Person

Schedule: Standard Office Hours

Pay Range: $18.00–$25.00 per hour, based on experience and qualifications

Sleep & Attention Disorders Institute is an established specialty medical practice serving patients with sleep disorders and attention-related conditions. Our practice has served the Metro Detroit community for decades and is committed to providing professional, compassionate, and patient-focused care.

We are seeking a dependable, organized, and detail-oriented Referral & Insurance Verification Specialist to support patient intake, physician referrals, insurance verification, and front-office operations. The Referral & Insurance Verification Specialist serves as an important first point of contact for new and existing patients and referring physician offices. This position is responsible for managing incoming referrals, verifying insurance coverage and requirements, answering incoming calls, registering and following up with new patients, and helping ensure that referrals and patient inquiries are handled accurately and promptly.

Because this role provides direct front-office and telephone coverage, it is an in-person position.

Key Responsibilities

Insurance Verification & Insurance Referrals

  • Complete insurance verification for new and existing patients
  • Verify eligibility, benefits, deductibles, copays, and other applicable coverage information
  • Identify referral and prior authorization requirements
  • Obtain, review, and update patient insurance information
  • Update insurance information promptly when patients provide new or changed coverage
  • Assist patients and staff with insurance-related questions
  • Maintain accurate insurance information within the practice's patient management and EMR systems
  • Stay current with payer requirements, policies, and procedures

Referral Management

  • Receive and process incoming physician referrals
  • Monitor and process referrals received by fax and other designated channels
  • Obtain necessary demographic, insurance, and registration information directly from patients when registering and scheduling
  • Track referrals through the intake and scheduling process
  • Maintain accurate referral records and documentation
  • Follow up with referring physician offices when necessary

New Patient Intake & Follow-Up

  • Receive and respond to new patient inquiries, including inquiries generated through the practice website
  • Register new patients and enter required demographic and insurance information
  • Contact prospective and referred patients to support appointment scheduling
  • Follow up with new patients who have not yet completed scheduling or registration
  • Help ensure new patient inquiries and referrals do not go unanswered or become lost in the intake process

Phones & Front-Office Support

  • Answer incoming telephone calls and assist with patient needs
  • Help manage high call volume, particularly during patient clinic days
  • Route calls appropriately when clinical or administrative assistance is required
  • Provide professional and courteous service to patients, referring offices, and other callers
  • Support scheduling and appointment coordination as needed
  • Assist with other front-office responsibilities during high-volume periods

Administrative & Reporting Support

  • Assist with end-of-month reporting and administrative processes
  • Sort, fold, stuff, stamp, and prepare required reports or correspondence for mailing
  • Maintain organized records and documentation
  • Assist with claims follow-up and accounts receivable activities as assigned
  • Support other administrative functions necessary for efficient practice operations

Clinical Research Support

  • Provide administrative assistance during clinical research visits as needed
  • Support research staff with non-clinical tasks associated with patient visits
  • Obtain vital signs, height, weight, and BMI for research participants as assigned
  • Perform ECGs for research participants as assigned; training will be provided
  • Complete accurate and precise documentation for procedures performed
  • Assist with appropriate administrative coordination and documentation as assigned
  • Follow established research procedures and applicable compliance requirements
  • Work collaboratively with clinical, research, and administrative staff
Requirements:

Qualifications & Skills

  • High school diploma or equivalent required
  • At least 1 year of medical office experience preferred
  • Medical insurance verification experience strongly preferred
  • Experience processing physician or insurance referrals preferred
  • Experience with patient registration, scheduling, or medical front-office operations preferred
  • Familiarity with EMR and medical practice management software
  • Familiarity with Microsoft Office
  • Strong attention to detail and accuracy
  • Excellent organizational and multitasking abilities
  • Ability to manage multiple incoming calls, referrals, and patient requests
  • Strong written and verbal communication skills
  • Professional and patient-focused customer service skills
  • Ability to communicate effectively with physician offices, insurance companies, patients, and internal staff
  • Ability to work effectively in a fast-paced medical office environment

Position Requirements

  • This position requires in-person attendance due to telephone coverage, patient intake, referral management, and front-office responsibilities
  • Candidates may be asked to complete skills testing as part of the interview process
  • Employment may be contingent upon successful completion of a background check
  • Annual influenza vaccination is required in accordance with applicable building requirements
  • Starting compensation will be based on relevant skills and prior experience
