About the Role:

The Executive Assistant provides high-level administrative and organizational support to the Chief Executive Officer, helping ensure priorities, schedules, communications, and business activities are managed effectively. This role serves as a trusted partner to the CEO and requires strong judgment, discretion, attention to detail, and the ability to anticipate needs in a fast-paced manufacturing and service environment. The Executive Assistant also acts as a key point of coordination between the CEO, employees, customers, vendors, and other business partners.

Responsibilities:

  • Manage and maintain the CEO’s calendar, including meetings, appointments, deadlines, business commitments, and personal obligations as requested.
  • Coordinate meetings by scheduling participants, reserving meeting spaces, preparing agendas and materials, and arranging any necessary technology or refreshments.
  • Monitor and help manage the CEO’s email, correspondence, and incoming requests, identifying urgent matters and ensuring appropriate follow-up.
  • Draft, edit, format, and proofread emails, letters, presentations, reports, meeting materials, and other executive communications.
  • Prepare and coordinate domestic and international travel arrangements, including flights, lodging, transportation, itineraries, and related documentation.
  • Track commitments, action items, and deadlines to help ensure the CEO’s priorities and follow-up responsibilities are completed.
  • Prepare the CEO for meetings by gathering relevant background information, documents, reports, and other materials.
  • Attend meetings as requested, document key discussion points, prepare meeting notes, and communicate assigned action items.
  • Serve as a professional and responsive point of contact between the CEO and employees, customers, vendors, community partners, and other external contacts.
  • Coordinate leadership meetings, company events, customer visits, employee meetings, and other executive-level activities.
  • Handle sensitive business, employee, financial, and personal information with a high degree of confidentiality and discretion.
  • Assist with special projects, company initiatives, research, and presentations as assigned by the CEO.
  • Organize and maintain electronic and physical records, documents, contact information, and executive files.
  • Help prioritize competing requests and adjust schedules or plans when business needs change.
  • Anticipate the CEO’s administrative and operational needs and proactively identify opportunities to improve organization, communication, and efficiency.
  • Develop positive working relationships across all levels of the organization and support effective communication between the CEO and other departments.

Minimum Qualifications:

Three or more years of administrative support experience, preferably supporting a senior executive, owner, or leadership team.
