Job Description
General Scope
The Office Coordinator plays a critical role in supporting the daily administrative operations of a fast-paced Oil & Gas Services company. This position serves as a central point of coordination between field operations, management, vendors, and corporate departments to ensure efficient office processes, accurate documentation, and timely communication. The ideal candidate is highly organized, detail-oriented, proficient with technology, and capable of managing multiple priorities while maintaining confidentiality and professionalism.
Key Expectations
- Coordinate daily office operations and provide administrative support to management and various departments.
- Receive, distribute, and maintain correspondence, reports, records, and other business communications.
- Utilize Microsoft Office applications, including Word, Excel, Outlook, and Teams, to prepare documents, reports, spreadsheets, and presentations.
- Assist with tracking and documenting equipment, materials, and operational timelines to ensure accurate billing and cost allocation.
- Maintain organized filing systems and highly confidential employee, operational, and business records.
- Process purchase requisitions, coordinate product orders, and assist with inventory tracking and management.
- Support onboarding, training coordination, and administrative functions related to personnel and field operations.
- Serve as a liaison between field personnel, vendors, customers, and corporate departments.
- Monitor office supply levels and coordinate procurement of office materials and equipment.
- Assist with special projects and process improvement initiatives as assigned.
- Ensure compliance with company policies, safety requirements, and industry regulations.

Qualifications & Experience
- High School Diploma or GED required;
- Minimum of one (1) year of administrative, office coordination, or related experience preferred.
- Experience in the Oil & Gas, construction, transportation, or industrial services industry is a plus.
- Strong organizational skills with the ability to prioritize multiple tasks and deadlines.
- Excellent verbal and written communication skills.
- Demonstrated ability to exercise discretion and maintain confidentiality.
- Proficiency in Microsoft Word, Excel, Outlook, and other business software applications.
- Ability to work independently while contributing effectively as part of a team.
- Strong attention to detail and commitment to accuracy.
- Ability to adapt to changing priorities in a fast-paced environment.
Physical Requirements & Work Environment
- Prolonged periods of sitting and working on a computer.
- Ability to occasionally lift and carry office materials up to 25 pounds.
- Ability to move throughout office and operational facilities as needed.
