Position SummaryThe Facilities Administrator reports directly to the Director of Operations and works closely with the Operations Leadership Team to coordinate and oversee projects that support Tampa Family Health Centers’ operational goals.
This position is responsible for planning, implementing, and managing projects focused on process improvements, efficiency gains, system upgrades, and organizational growth. The Facilities Administrator coordinates internal and external resources, monitors project timelines and budgets, addresses project obstacles, and helps ensure projects are completed according to established quality standards.
Essential Responsibilities- Partner with the Operations Leadership Team to establish and coordinate projects that support organizational growth.
- Develop project plans, identify tasks and required resources, establish ownership, and monitor timelines to ensure successful completion.
- Manage internal and external projects, including initiatives involving suppliers and contract manufacturers.
- Coordinate internal and external resources throughout project planning and execution.
- Proactively identify and remove project obstacles, manage issue escalations, and support teams in balancing competing priorities.
- Drive improvements to project management processes, tools, and templates to strengthen operational efficiency.
- Prepare timely project status reports and program summaries, including updates regarding scope, schedules, quality risks, resource allocation, project status, and customer impact.
- Identify, track, and manage costs associated with project budgets.
- Bachelor’s degree required; degree in a technical discipline preferred.
- Minimum of 2 years of experience directly managing projects.
- Valid driver’s license in good standing.
- Ability to travel approximately 10–15% as required.
- Proficiency with Microsoft Excel, Word, PowerPoint, Project, Teams, and Zoom.
- Strong project planning, organization, and coordination skills.
- Ability to effectively manage multiple priorities, deadlines, and project stakeholders.
- Strong problem-solving skills with the ability to identify obstacles and coordinate solutions.
- Ability to communicate effectively with internal teams, leadership, vendors, and other external partners.
- Ability to adapt to changing priorities and unexpected events while maintaining project progress.
This position frequently requires sitting and communication and occasionally requires standing, walking, bending, reaching, climbing, twisting, and lifting or moving up to 25 pounds. The role requires sustained concentration, sound decision-making, and the ability to operate effectively in an environment that may include moderate-to-loud noise, open workspaces, distractions, and potential exposure to infectious conditions. Please note that the employee’s initial training schedule may differ from the regular schedule of the position. All new hires, including part-time employees, must be available for up to 40 hours of in-person, on-site training during their first week. Additional mandatory training may continue for approximately two to three weeks, depending on the position and training requirements. Training may take place at a TFHC location other than the employee’s assigned work location.
