Location: 23 Liberty Street, Bath NY 14810

Department: Prevention Services

Employment Type: Part-Time

Schedule: Monday-Thursday 20 hours a week

Salary: $16.00 an hour

General Description

Coordinate and arrange field trips, arts and craft programs, and physical education days. Develop and coordinate advertising through radio and media. Coordinate with local daycares and ProAction Youth Center regarding trips and registration details.

Essential Duties and Responsibilities

  • Arranges field trips by coordinating with locations and scheduling field trips.
  • Organizes field trips with a system, such as color coding each week (folders, sign in sheets), creating a sign-up sheet with 125 people maximum, and a waiting list including name, telephone number, age, gender, permission slip, and zip code.
  • Schedules field trips and have them confirmed by the JSYRC Board at its June meeting.
  • Makes copies of all papers received from field trip locations and files.
  • Contacts Haverling Bus Garage with a tentative schedule and fill out bus transportation forms for each field trip that require buses.
  • Organizes and hosts two JSYRC registration nights. One in early June and a second before program start.
  • Maintains all parent permission slips, behavior contracts and program records.
  • Ensures all chaperones are approved through CCSL vetting process.
  • Coordinates chaperones with ratio of 1 adult for every 10 children
  • Arrives early to get supplies: backpack with binder of permission slips, first aid kit, balls, recreation items, etc.
  • Has bus arrangements with chaperones and assigned groups prepared and ready to distribute before the departure time of each field trip.
  • Works with food service program at Haverling School for trip day lunches, including pick up and return. Prepare roster 24 hours in advance to the school.
  • Has an itinerary prepared for chaperone and adults and distributes when they check in.
  • Makes sure children obey bus rules
  • After trips, is sure everyone leaves with their parent/guardians or walks home if their permission slips states that.
  • Maintains documentation for YDP funds and TB funds.
  • Develops a flyer or brochure for summer program as assigned by program coordinator.
  • Updates website, Facebook page for JSYRC program as assigned by program coordinator.
  • Completes other duties as assigned.

Requirements:

Qualifications

Education: High School Diploma or equivalent. One year of college preferred.

Experience: Must be at least 18 years of age.

Relevant combination of years of experience and education will be considered

  • Ability to establish support and relate to a diverse client population including school personnel.
  • Adheres to all applicable federal and state laws and regulations including, but not limited to, those governing confidentiality, privacy, program, billing and documentation Demonstrate ethical business practices, in accordance with all state and federal laws and regulations.
  • Ability to prioritize assignments, plan, and complete work projects with minimal direction
  • Ability to maintain absolute confidentiality regarding all records reviewed including consumer records, employee records and billing records.
  • Exceptional time management skills and ability to effectively meet deadlines
  • Excellent verbal/written skills
  • Ability to analyze and interpret data and to handle problem resolution
  • Ability to work in the following software programs: Windows, Microsoft Office, and multiple online software platforms as required by funders and partner organizations
  • Possession of a valid NYS Driver’s license and a driver's record considered acceptable by agency and insurance carrier.
  • Continuous use of a reliable, registered and insured vehicle.
  • Ability to demonstrate behaviors and attitudes which support organizational mission, philosophy, and policies
  • Ability to work in a cooperative and helpful manner with all individuals
  • Willingness and ability to foster agency and program wide cooperation and teamwork through use of positive/constructive communication techniques
  • Provide effective, equitable, understandable and respectful quality care and services that are responsive to diverse cultural health beliefs and practices, preferred languages, health literacy and other communication needs.
