Systems Specialist, Transfer Credit

This position is posted by Jobgether on behalf of a partner company. We are currently looking for a Systems Specialist, Transfer Credit in Canada.

This is a detail-oriented academic systems role focused on maintaining the integrity, accuracy, and reliability of student records within a Student Information System. You will play a key part in supporting registrar operations, ensuring that academic data is correctly processed, validated, and aligned with institutional policies. A core component of the role involves evaluating transfer credits and applying equivalency rules to support student progression and academic consistency. You will also contribute to system operations, troubleshooting, and process improvements that enhance data quality and service delivery. Working closely with academic and administrative stakeholders, you will help ensure smooth and accurate student lifecycle management. This role is ideal for someone who combines analytical thinking with strong attention to detail and a systems-oriented mindset.

Accountabilities:
  • Maintain and ensure the accuracy and integrity of academic records within the Student Information System, including updates, corrections, and policy-compliant data management.
  • Execute, monitor, and troubleshoot system transactions and batch processes while performing validation and testing of SIS functionality.
  • Provide timely support to students, faculty, and staff by managing inquiries and cases in alignment with service standards.
  • Apply institutional academic policies consistently when making decisions related to student records and academic processes.
  • Conduct data analysis, identify trends or inconsistencies, and support reporting, audits, and continuous improvement initiatives.
  • Perform transfer credit evaluations, including transcript review, course equivalency determination, articulation maintenance, and application of transfer policies.
  • Support broader registrar operations such as academic records management, enrollment processes, and system data integrity tasks.

Requirements:

  • Bachelor’s degree is required.
  • Minimum 1 year of experience in student records, registrar operations, transfer credit evaluation, admissions, or related higher education administration.
  • Experience working with a Student Information System (such as PeopleSoft, Banner, or similar) for student data processing or updates.
  • Strong understanding of academic policies with the ability to interpret and apply them accurately in structured environments.
  • Experience with transfer credit evaluation, transcript review, or degree audit processes is highly desirable.
  • Strong analytical and troubleshooting skills with the ability to identify and resolve data or system issues.
  • Excellent attention to detail with strong data validation and quality control capabilities.
  • Strong communication skills, both written and verbal, with a service-oriented mindset.
  • Ability to manage multiple priorities, meet deadlines, and adapt to evolving processes and systems.
