POSITION DESCRIPTION
TITLE: Purchasing Supervisor
REPORTS TO: Procurement Director
FLSA STATUS: Exempt
FT / PT STATUS: Full Time
LOCATION: Spanish Fort, AL
SUMMARY
The Purchasing Supervisor will negotiate prices, delivery times, and terms with suppliers. Verify, prepare and forward purchase orders, receipt of items and payment authorizations as required. Oversees and supports Purchasing Agents.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Verify purchase requisitions by comparing items requested to master list; clarifying unclear items and/or recommending alternatives.
- Forward available inventory items by verifying stock; scheduling delivery.
- Prepare purchase orders by verifying specifications and price; obtaining recommendations from suppliers for substitute items; obtaining approval from requisitioning department.
- Obtains purchased items by forwarding orders to suppliers; monitoring and expediting orders.
- Verifies receipt of items by comparing items received to items ordered; resolves shipments in error with suppliers.
- Authorizes payment for purchases by forwarding receiving documentation.
- Keeps information accessible by sorting and filing documents.
- Provides purchasing planning and control information by collecting, analyzing, and summarizing data and trends.
- Updates job knowledge by participating in educational opportunities.
- Accomplishes purchasing and organization mission by completing related results as needed.
- Performs other duties as assigned.
SUPERVISORY RESPONSIBILITY
- Direct and oversee the work of the Purchasing team
- Escalates disciplinary matters to the department Director in accordance with company policy
- Assists in training new employees entering the department.
KNOWLEDGE, SKILLS, ABILITIES & ATTRIBUTES
- Government Procurement Experience
- Extensive knowledge of the FAR
- Experience Managing Subcontracts
- Ability to follow and give verbal and written instructions
- Ability to learn purchasing procedures and policies
- Knowledge of cost accounting and control engineering
- Ongoing knowledge of manufacturing methods and procedures
- Knowledge of supply management
- Ability to track budget expenses
- Excellent organizational skills and attention to detail.
- Excellent interpersonal skills
- Proficient with Microsoft Office Suite or related software.
EDUCATION AND EXPERIENCE
- Highschool Diploma or equivalent
- Degree in business administration, supply chain management, finance or economics preferred
- Experience in Government Procurement
- Experience managing subcontracts
WORKING CONDITIONS / PHYSICAL REQUIREMENTS
- Work is conducted indoors in an office environment
- Must be able to sit for prolonged periods of time at a desk; must be able to view computer screen for prolonged periods of time; must be able to enter data using keyboard accurately and efficiently
- Must be able to lift, carry, push, pull up to 15 pounds at times on an infrequent basis.
- May be required to climb stairs and ladders
