Job Description

Description:

Team Lead – Patient Access

Scheduling | Intake | Physical Therapy Intake & Prior Authorization

Are you a natural leader who enjoys coaching others while still staying connected to the day-to-day work? Do you thrive in a fast-paced healthcare environment where teamwork, process improvement, and exceptional patient service are equally important?

Neuroscience Group is seeking a Team Lead – Patient Access to oversee our Scheduling Coordinators, Intake Coordinators, and Physical Therapy Intake/Prior Authorization teams. This is a working leadership position, meaning you'll spend approximately 50% of your time leading, coaching, and developing the team and 50% actively supporting daily operations alongside them.

If you're passionate about building high-performing teams, improving processes, and creating an outstanding patient experience, we'd love to hear from you.

Requirements:

What You'll Do

As the Team Lead – Patient Access, you'll partner closely with Practice Administration, Operations, the Manager of Patient Access, and other organizational leaders to ensure our patient access teams operate efficiently while delivering compassionate, exceptional service.

Leadership & Team Development

  • Lead, coach, mentor, and support Scheduling Coordinators, Intake Coordinators, and Physical Therapy Intake/Prior Authorization staff.
  • Foster a positive, accountable, and collaborative team culture that promotes engagement, trust, and professional growth.
  • Provide ongoing coaching, feedback, and performance development to help team members reach their highest potential.
  • Support employee engagement while maintaining high levels of morale and job satisfaction.
  • Participate in interviewing, onboarding, performance management, employee development, and corrective action processes alongside leadership and Human Resources.
  • Operations & Process Improvement
  • Partner with the Manager of Patient Access and organizational leadership to drive continuous improvement initiatives.
  • Evaluate workflows and implement process improvements that enhance efficiency, quality, and the patient experience.
  • Monitor productivity, quality metrics, and operational performance while identifying opportunities for improvement.
  • Analyze staffing needs and make recommendations to ensure appropriate team coverage.
  • Design, coordinate, and deliver onboarding and ongoing training programs for new and existing team members.
  • Collaborate across departments to improve operational consistency and standardize best practices.

Working Team Lead Responsibilities

This is not a supervisory role from behind a desk. You'll remain actively involved in daily operations by:

  • Assisting with patient scheduling and intake activities.
  • Supporting Physical Therapy Intake and Prior Authorization workflows.
  • Helping manage workload during high-volume periods.
  • Serving as a resource and subject matter expert for the team.

Approximately 50% of this position involves performing the daily work of the department, allowing you to lead by example while maintaining firsthand knowledge of team operations.

What Makes You Successful

The ideal candidate is an experienced healthcare professional who combines strong leadership skills with operational expertise and a genuine passion for developing others.

You are someone who:

  • Leads with integrity and professionalism.
  • Builds trust through collaboration, accountability, and consistency.
  • Enjoys coaching and mentoring others toward success.
  • Remains calm, organized, and patient-focused under pressure.
  • Communicates clearly and effectively with patients, providers, and teammates.
  • Thinks critically, embraces change, and continuously looks for ways to improve processes.
  • Balances multiple priorities while maintaining exceptional attention to detail.
  • Creates positive outcomes even in challenging situations.

Qualifications

Required

  • Previous healthcare experience with complex medical scheduling.
  • Demonstrated knowledge and experience performing the responsibilities of the positions within the Patient Access team.
  • Prior leadership experience or demonstrated ability to successfully lead, coach, and develop others.
  • Strong customer service skills with a proven history of delivering exceptional patient experiences.
  • Experience working in a fast-paced, high-volume healthcare environment.
  • Proficiency using Epic.
  • Excellent verbal and written communication skills.
  • Outstanding organizational, interpersonal, and problem-solving abilities.
