ABOUT EQUIDIGM
Equidigm is an education consulting firm that partners with school and district leaders to build instructional improvement systems that structurally embed equity — not treat it as an aspiration. We work across the country at tiered engagement levels: professional development, embedded coaching, and systems design.
We believe equity is designed. Instruction is the work. Systems — not individuals — are what make improvement stick.
Learn more about our work on LinkedIn and YouTube.THE ROLEEquidigm is growing — and growth without operational infrastructure is just chaos with momentum. This role exists to make sure that doesn’t happen.

As Operations Manager, you’ll work directly with Ashley Hendricks, Equidigm’s Founder and CEO, to build and maintain the internal systems that allow the firm to scale without breaking. You’re the person who keeps the engine running: client workflows, internal processes, team coordination, communications, and the tools that tie it all together.
This is not a task-list role. You’ll identify what’s breaking, propose solutions, implement them, and own the results. You bring order without bureaucracy, and structure without rigidity.
The CEO sets the direction. You make sure the firm can actually move in it.WHAT YOU’LL DOSystems & Process Management
  • Audit, design, and maintain operational systems and workflows across the firm.
  • Build and manage Go High Level automations to include pipelines, follow-up sequences, and client-facing workflows.
  • Manage the Virtual Assistant executing within the operational systems — including LinkedIn lead management, follow-up sequences, and sales-call scheduling — ensuring quality, consistency, and timely handoffs to the CEO.
  • Identify operational gaps proactively and bring solutions, not just observations.
  • Create Standard Operating Procedures and document processes so the firm can scale without founder dependency.
CEO & Executive Support
  • Own client facing and internal team scheduling end-to-end.
  • Manage the CEO’s inbox: triage, draft responses, and send outbound business development emails on her behalf
  • Take proposals from the CEO’s draft all the way to execution: craft, format, send, track, and manage the signature process with new and returning clients.
  • Serve as a communication hub between the CEO and internal/external stakeholders.
Client & Pipeline Operations
  • Maintain CRM records, pipeline tracking, and client follow-up cadences in Go High Level.
  • Oversee the inbound lead pipeline from first touch to booked sales call — ensuring leads are logged, nurtured, and scheduled without dropping off.
  • Coordinate client onboarding logistics and ensure smooth handoffs from sales to delivery.
  • Track proposal and contract status from draft to signed — and flag anything at risk.
  • Support light financial tracking and reporting as directed by the CEO.
Team Coordination
  • Manage day-to-day coordination across contractors and team members.
  • Track project timelines and deliverables to keep engagements on schedule.
  • Facilitate internal communication so the CEO stays focused on delivery and growth.
WHO YOU AREWe’re not hiring for a résumé. We’re hiring for a specific kind of person:
  • You see broken systems as problems to solve, not someone else’s job.
  • You execute without needing to be micromanaged — you figure things out and come back with answers, not more questions.
  • You hold multiple workstreams simultaneously without dropping the ball.
  • You communicate proactively — especially when something’s unclear, off-track, or needs a decision.
  • You know how to manage up: you keep leadership informed, surface the right things at the right time, and don’t wait to be asked.
  • You’re comfortable in a fast-moving, founder-led environment where priorities shift and ambiguity is real.
  • You write clearly and professionally — emails, proposals, and SOPs all need to represent the firm well.
  • You care about education, equity, or mission-driven work — this isn’t just a job to you.
JOB REQUIREMENTS
  • A minimum of 3 years in administrative, operations, or office management roles (small business experience a plus).
  • Experience in education or adjacent sectors (nonprofits, ed-adjacent consulting) is a plus, not a requirement.
  • Bachelor’s degree in Business, Marketing, or related field preferred.
  • Previous leadership experience preferred.
  • Strong organizational skills with excellent attention to detail.
  • Proficient with common business software and tools (Microsoft Office, Google Workspace, Zoom).
  • Familiarity with some of the tools we use:
  • Go High Level (CRM, automations, pipeline management, follow-up sequences)
  • Google Workspace — Docs, Sheets, Drive, Calendar
  • Project or task management tools (we’ll share specifics in interviews)
  • Docusign or similar e-signature platforms
  • Canva (light design support as needed)
  • Comfortable creating and documenting processes.
  • Comfortable making operational decisions within defined parameters and escalating only when strategic input is required.
  • Strong communication skills (written and verbal).
  • Ability to work independently and manage multiple priorities.
JOB DETAILSSalary: $75,000–$85,000 annually.
Full-time, remote, 40 hours/week: Monday-Friday, 9-5 pm.; Light travel required 2-3x annually.
Target start date: September 2026.
Benefits include: PTO, Paid Holidays and Company computer. It does not currently include any medical benefits.

This is a role with real scope and direct CEO access at a firm that is scaling with intention. You’ll have genuine ownership over how Equidigm operates — not a narrow lane, but the whole engine.
