Job SummarySouthend Pharmacy is seeking a highly organized and detail-oriented Procurement Specialist to support the sourcing, purchasing, and timely delivery of pharmaceutical materials, supplies, packaging, equipment, and operational services. This role is responsible for maintaining vendor relationships, processing purchase orders, supporting inventory availability, and ensuring procurement activities align with company policies and regulatory requirements. The ideal candidate thrives in a fast-paced pharmacy environment and possesses strong organizational, analytical, and communication skills.
Please note that this afternoon shift schedule is Monday through Friday from 1:00 PM to 9:30 PM; however, hours may be adjusted based on business needs, and flexibility in availability is expected to support teams and operational demands.
Key Responsibilities- Source and purchase pharmaceutical supplies, raw materials, packaging components, laboratory supplies, equipment, and operational services
- Create, process, and monitor purchase orders to ensure timely delivery and uninterrupted pharmacy operations
- Build and maintain strong relationships with vendors while negotiating pricing, lead times, and purchasing agreements
- Collaborate with Inventory, Warehouse, Finance, and Pharmacy Operations to maintain appropriate inventory levels and prevent product shortages
- Monitor supplier performance, product quality, pricing, and delivery schedules
- Resolve purchasing discrepancies, shipment delays, invoice variances, and backorder issues
- Research alternative vendors and identify opportunities for cost savings and process improvements
- Maintain accurate purchasing records, vendor files, pricing information, and procurement documentation
- Ensure purchasing activities comply with company policies and applicable FDA, USP, and Good Manufacturing Practice (GMP) guidelines
- Analyze purchasing trends and spending data to support operational and financial decision-making
- Assist with inventory reconciliation, cycle counts, and procurement reporting as needed
- Perform other duties as assigned
- High school diploma or GED required
- Minimum of two (2) years of procurement, purchasing, or supply chain experience
- Minimum one (1) year of experience using procurement, purchasing, inventory management, or Enterprise Resource Planning (ERP) software (such as Microsoft Dynamics, NetSuite, SAP, Oracle, Sage, Fishbowl, or similar systems)
- Experience creating and managing purchase orders while working directly with vendors and suppliers
- Strong organizational, negotiation, and problem-solving skills
- Excellent verbal and written communication skills
- High level of accuracy and attention to detail
- Proficiency with Microsoft Office Suite, including Excel, Outlook, and Word
- Ability to work onsite in a fast-paced, high-volume environment
- Experience working in a 503A or 503B compounding pharmacy environment
- Experience in pharmaceutical, healthcare, manufacturing, or another regulated industry
- Familiarity with FDA, USP, and Good Manufacturing Practice (GMP) requirements
- Experience using ERP, purchasing, or inventory management software
- Professional procurement or supply chain certification (CPIM, CPSM, or CIPS) is a plus
