Job Summary

The Customer Relationship Management (CRM) Systems & Reporting Manager supports the International African American Museum’s (IAAM’s) fundraising, membership, marketing, visitor engagement, and organizational reporting needs. The CRM Systems & Reporting Manager is responsible for maintaining the accuracy, integrity, and effective use of IAAM’s constituent relationship management system, with a primary focus on Blackbaud Altru. This position plays a critical role in helping IAAM manage donor, member, visitor, and constituent data; create accurate reports; build targeted lists; support digital communications; and strengthen data-informed decision-making across the organization. This manager is proficient in Altru, skilled in report creation and list management, comfortable working across departments, and motivated by the opportunity to help a mission-driven cultural institution deepen relationships with its donors, members, visitors, and community. The CRM Systems & Reporting Manager is a self-starter who takes initiative, identifies needs, and moves projects forward with care and accountability. They are service-minded, with a strong commitment to data accuracy and organizational support.

Essential Duties:

Responsibilities

  • Manage the daily use, maintenance, and integrity of Blackbaud Altru, including constituent records, donor records, gift records, membership records, transaction records, and engagement data.
  • Create accurate and timely reports for fundraising, membership, marketing, communications, executive leadership, board reporting, campaign analysis, donor stewardship, and operational planning.
  • Build and manage targeted lists for fundraising appeals, donor communications, membership campaigns, event invitations, newsletters, stewardship outreach, and other organizational communications.
  • Maintain strong data hygiene practices, including duplicate management, data cleanup, coding consistency, naming conventions, field standardization, and regular database audits.
  • Support staff with Altru-related questions, troubleshooting, reporting requests, list pulls, data exports, and general database use.
  • Develop and document database procedures, data entry standards, reporting processes, and list management practices.
  • Support data workflows connected to Blackbaud Luminate or an equivalent digital mass mailing, email marketing, or digital fundraising platform.
  • Coordinate with development, membership, marketing, communications, finance, visitor services, and leadership staff to ensure data is accurate, accessible, and useful.
  • Support data imports, exports, segmentation, and campaign reporting.
  • Assist with tracking trends in giving, membership, engagement, attendance, campaign performance, and other key organizational metrics.
  • Support dashboard creation, visual reporting, and data visualization projects as needed.
  • Maintain confidentiality and discretion when working with donor, member, visitor, employee, and organizational information.
  • Provide excellent internal customer service to colleagues who rely on accurate data, reports, and lists.
  • Support museum operations and assist other departments when needed.
  • Adheres to company policies and procedures, standards and practices, regulatory compliance, and company directives including dress code and attendance

Job Requirements

Requirements

  • Minimum of 3 years of relevant experience in database management, CRM administration, fundraising operations, sales operations, business development operations, lead generation operations, or a related field.
  • Proficiency in Blackbaud Altru is required.
  • Exemplary report-making, query-building, list management, segmentation, and data export skills are required.
  • Experience with Blackbaud Luminate or an equivalent digital mass mailing, email marketing, or digital fundraising platform is required.
  • Strong understanding of data hygiene, constituent records, gift or transaction records, campaign tracking, and reporting accuracy.
  • Strong Microsoft Office skills, especially Excel or comparable spreadsheet tools.
  • Excellent attention to detail and commitment to accuracy.
  • Ability to manage multiple priorities, meet deadlines, and respond to requests in a timely and professional manner.
  • Strong written and verbal communication skills.
  • Ability to explain data, reports, and system needs clearly to colleagues who may not have technical database experience.
  • Ability to work independently and collaboratively in a fast-paced, mission-driven environment.

Preferred Qualifications

  • Experience supporting CRM systems for fundraising, sales management, business development, or business lead generation organizations.
  • Experience creating dashboards, visual reports, or data visualizations.
  • Experience with nonprofit fundraising operations, donor stewardship, membership programs, ticketing data, digital fundraising platforms, or museum/cultural institution operations.
  • Experience supporting executive, board, campaign, fundraising, or membership reports.
  • Interest in IAAM’s mission and the African American journey, history, culture, and impact.

Experience

  • Database management, CRM administration, fundraising operations, sales operations, or related experience: 3 years required
  • Blackbaud Altru: required
  • Report creation and list management: required
  • Blackbaud Luminate or equivalent digital mass mailing platform: required
  • Dashboard creation or data visualization: preferred

Physical Requirements:

  • Ability to sit, stand, and move around the facility as needed; may require light lifting (up to 25 lbs.)
  • Prolonged periods sitting at a desk and working on a computer.
