Job Description
General Position Summary:
The Front Office Coordinator role plays a pivotal part in creating an exceptional first impression for visitors entering our organization's lobby. The Front Office Coordinator is responsible for delivering outstanding customer service and providing vital support in various administrative tasks. The Front Office Coordinator’s welcoming demeanor, attention to detail, and organizational skills will contribute to the overall success of our mission.
Core Responsibilities:
Provide an excellent first impression for those entering the lobby.
- People feel welcome.
- Lobby is in excellent physical and visual condition.
- Update digital signage.
- Manage incoming mail, partner family payments, and small packages.
- Any promotional material or technology is maintained.
Create an exceptional customer service experience.
- Welcome, announce, and direct visitors.
- Answer basic questions about Habitat mission and programs.
- Management of phone ‘operator’ function.
- Scheduling meetings with clients.
Assist with administrative duties as assigned.
- Mailings/communications.
- Data entry and data hygiene.
- Accounts Payable processing.
- Ordering and managing supplies.
- Conference room reservations and setup.
Qualifications:
- High school diploma or equivalent; college degree preferred.
- Strong interpersonal and customer service skills.
- Ability to work with people from diverse backgrounds
- Excellent communication and problem-solving abilities.
- Proficiency in using office equipment and digital technology, including Microsoft Office applications.
- Organizational skills and attention to detail.
- Ability to task switch and prioritize tasks effectively.
- Previous experience in a similar role is a plus.
- Familiarity with the organization's mission and programs is advantageous.
