Job Description

SUMMARY

The Maintenance Specialist is responsible for maintaining, repairing, and supporting the safe and efficient operation of ESMF’s buildings, grounds, equipment, and facility systems across all practice locations. The position performs a variety of general maintenance and repair functions, including carpentry, plumbing, electrical, painting, glazing, and general building maintenance.


The Maintenance Specialist identifies maintenance needs, troubleshoots facility issues, coordinates repairs and inspections, and works with outside contractors and service providers when specialized work is required. The position is expected to maintain a safe, clean, and functional environment while complying with applicable OSHA requirements, health and safety standards, building codes, and ESMF policies and procedures.


MINIMUM QUALIFICATIONS

Education and Experience:

  • High school diploma or GED required.
  • Three to five years of progressive experience in building, facility, or general maintenance required.
  • Working knowledge of electrical, plumbing, mechanical, carpentry, painting, and general building maintenance.
  • Previous HVAC experience preferred.
  • Strong mechanical aptitude with demonstrated troubleshooting and diagnostic abilities.
  • Knowledge of applicable building codes, OSHA requirements, and health and safety regulations.
  • Ability to identify problems, determine appropriate solutions, and complete repairs in a timely manner.
  • Ability to communicate effectively both verbally and in writing.
  • Valid driver’s license and reliable transportation required.
  • Ability to provide and maintain the tools necessary to perform assigned maintenance duties.
ESSENTIAL SKILLS AND ABILITIES

Facility Maintenance and Repairs

  • Maintains the buildings, grounds, equipment, and facilities at ESMF locations to support safe, clean, functional, and professional practice environments.
  • Performs routine and preventative maintenance and responds to facility repair requests.
  • Performs basic carpentry, plumbing, electrical, painting, glazing, and general maintenance repairs within the scope of the position and applicable regulations.
  • Installs, relocates, repairs, and removes equipment, fixtures, and facility components as authorized by management.
  • Identifies unsafe conditions, maintenance concerns, and potential facility hazards and takes appropriate action to address or escalate them.
  • Performs routine inspections of facility systems and equipment and reports deficiencies requiring additional attention.


Facility Projects and Improvements

  • Assists with planning, scheduling, and coordinating facility improvements, repairs, renovations, and modifications as directed by management.
  • Obtains estimates and quotes from vendors and contractors as authorized.
  • Monitors maintenance and construction projects to ensure work is completed in accordance with approved specifications and established timelines.
  • Coordinates and schedules required inspections and service appointments, including fire, HVAC, backflow, sprinkler, and other facility-related inspections.
  • Maintains appropriate documentation related to facility projects, inspections, repairs, and vendor services.
Vendor and Contractor Coordination

  • Coordinates with outside contractors and service providers for repairs, maintenance, inspections, and specialized services.
  • Assists management with evaluating vendor work, obtaining estimates, and coordinating service schedules.
  • Monitors contractor activities while working at ESMF facilities to ensure work is performed safely and in accordance with established requirements.
  • Reports concerns regarding contractor performance, project delays, safety issues, or incomplete work to the appropriate member of management.
Safety and Regulatory Compliance

  • Maintains knowledge of and follows applicable OSHA requirements, health and safety regulations, and facility-related standards.
  • Supports compliance with applicable building, fire, environmental, and safety requirements.
  • Ensures maintenance activities are performed using appropriate safety procedures and protective equipment.
  • Identifies and promptly reports conditions that may present safety, security, or operational risk.
Equipment and Facility Support

  • Assists with the safe movement, installation, relocation, and removal of furniture, equipment, fixtures, and other facility items.
  • Coordinates with appropriate personnel when specialized equipment or services require vendor assistance.
  • Assists with maintaining and monitoring facility systems, including plumbing, electrical, HVAC, septic, and other building systems within the scope of the position.
  • Maintains appropriate records of repairs, inspections, maintenance activities, and service requests.
Professional Performance and Development

  • Maintains productivity and performance standards established by management.
  • Participates in required in-service training, webinars, meetings, and other professional development activities.
  • Maintains applicable certifications and develops technical skills relevant to the position.
  • Provides recommendations for improving facility operations, reducing maintenance costs, and improving the overall practice environment.
  • Demonstrates a professional demeanor and positive, service-oriented attitude when interacting with patients, team members, vendors, contractors, and leadership.
Customer Service and Teamwork

  • Supports ESMF’s mission, values, and commitment to quality service.
  • Maintains effective and respectful working relationships with team members, leadership, vendors, contractors, and other individuals encountered in the performance of the position.
  • Responds to maintenance requests in a professional, timely, and courteous manner.
  • Maintains confidentiality and complies with HIPAA and all applicable ESMF policies and procedures.
  • Performs other duties and responsibilities as assigned by management.


PHYSICAL REQUIREMENTS

The physical demands described below are representative of those that must be met to successfully perform the essential functions of the position.

  • Regularly required to stand, walk, bend, stoop, crouch, kneel, reach, climb, and work in confined or awkward positions as necessary to perform maintenance duties.
  • Frequently uses hands and fingers to operate tools, equipment, fixtures, and other maintenance materials.
  • May be required to lift, carry, push, and pull equipment, materials, furniture, and supplies weighing up to 100 pounds or more with assistance, depending on the assignment.
  • Ability to work from ladders, lifts, or other elevated surfaces when necessary and when properly trained and authorized.
  • Requires adequate near, distance, peripheral, and depth perception to safely perform maintenance and repair activities.
  • May be exposed to varying noise levels, dust, odors, temperature changes, and other conditions commonly associated with maintenance and construction environments. Appropriate personal protective equipment must be used as required.
  • Must be able to communicate clearly in person and by telephone and hear sufficiently to perform essential job functions.

SUPERVISORY RESPONSIBILITIES

The Maintenance Specialist has no direct supervisory authority over ESMF team members. The position may provide direction and coordinate the activities of outside contractors, vendors, and workers performing facility-related services.


POSITION REQUIREMENTS AND WORK ENVIRONMENT

The position requires travel between ESMF locations as needed to perform maintenance, repair, inspection, and other facility-related assignments.

Valid Florida driver’s license and reliable transportation required.

Must maintain an acceptable driving record and comply with ESMF requirements regarding driving for business purposes.

Work may occur in office, clinical, mechanical, outdoor, and construction-related environments.

Overtime, evenings, weekends, or emergency response may be required based on operational needs.

Must comply with all applicable ESMF policies, procedures, safety requirements, and standards of conduct.
