About the role:

Brunswick Physical Therapy, powered by Areté Health, is looking for a Patient Experience Coordinator to join our team in Apex, NC.

You'll be the first friendly face our patients see and an important part of keeping the clinic running smoothly. From creating a welcoming experience to coordinating appointments, supporting patient collections, and helping patients stay on track with their treatment plans, you'll work closely with the Clinic Director and therapists to make every visit a positive one.

  • Schedule: Full-time, Monday–Friday. Individual hours based on clinic needs.
  • Location: Brunswick Physical Therapy | Apex, NC. This is an onsite position.
  • Work environment: Outpatient physical therapy clinic where you'll manage front-office operations, patient scheduling, and collections while working closely with the Clinic Director and clinical team. This is a patient-facing role that balances hospitality with administrative responsibilities and measurable performance goals.
  • What makes this opportunity different: This isn't just a traditional front-desk position. You'll play a direct role in helping patients complete their prescribed care while contributing to the clinic's overall patient experience and operational success.
What you'll do:
  • Welcome patients and visitors, creating a warm, professional, and positive experience from the moment they walk through the door.
  • Coordinate appointments, rescheduling, and proactive patient outreach to help patients stay consistent with their prescribed treatment plans.
  • Verify insurance benefits, communicate patient financial responsibilities, and collect copays, deductibles, and outstanding balances.
  • Follow up on patient balances through phone, text, and email with professionalism and empathy.
  • Partner with the Clinic Director and therapists to maintain full schedules, fill appointment openings, and support patients in completing their plans of care.
  • Maintain accurate patient information in the electronic health record (EHR) and scheduling systems to support smooth daily clinic operations.
What we're looking for:

Required

  • Strong interpersonal skills and emotional intelligence, with a genuine interest in helping people.
  • Excellent organization, time management, and attention to detail.
  • Comfort discussing financial responsibilities and collecting patient payments.
  • Strong computer proficiency and experience using an electronic medical record (EMR/EHR) system.
  • Ability to work toward measurable performance goals and contribute to clinic success.

Preferred

  • Previous experience in a healthcare front-office, patient coordination, or outpatient therapy setting.
  • Familiarity with insurance verification, patient collections, and appointment management.
  • Experience with Prompt EMR or a similar healthcare platform.

We value candidates who bring strong customer service skills, financial diligence, and a genuine desire to create a great patient experience.

What you can expect from us:
  • Competitive hourly compensation of $18.00–$20.00, with applicable performance-based incentive opportunities.
  • Comprehensive health benefits, including medical, dental, and vision coverage.
  • Generous paid time off, paid holidays, and wellness days.
  • 401(k) with employer matching.
  • Complimentary physical therapy sessions for full-time employees.
  • Training and professional development opportunities to help you grow within Areté Health.
  • Access to technology and tools that support efficient patient scheduling and front-office operations.
  • A supportive, collaborative team where your contributions and the patient experience genuinely matter.
