Job Description

Position Summary

The HR & Payroll Coordinator provides comprehensive administrative and operational support for Human Resources and Payroll functions. This position supports employee lifecycle activities, recruitment, onboarding, payroll processing, HRIS/ADP administration, employee records, leave administration, compliance, reporting, and employee support. The Coordinator serves as a key point of contact for employees, faculty, supervisors, Principal Investigators (PIs), and budget analysts and serves as backup support for both HR and Payroll operations.

Salary Range: $28.00-$34.00/hourly

Work Schedule. This is a full-time position: Monday – Friday; 8:00am-5:00 pm; non-exempt position. This position is eligible for benefits.

Essential Responsibilities:

  • Provide day-to-day support for Human Resources and Payroll activities, including employee communications, documentation, reports, data entry, and administrative requests.
  • Serve as backup for HR and Payroll functions to ensure continuity of operations and timely employee service.
  • Assist with payroll processing, including reviewing time records, processing employee changes, resolving discrepancies, correcting errors, and responding to payroll inquiries.
  • Maintain employee payroll and HR information in ADP and other applicable systems, including new hires, transfers, promotions, pay changes, leave, and terminations.
  • Process and maintain PTO, leave of absence, holiday, and attendance information in ADP.
  • Assist with recruitment activities, including job postings, recruitment communications, interview scheduling, hiring documentation, and selection processes.
  • Review new-hire documentation for completeness and accuracy, including Employment Transaction Reports, Selection/Hire Authorizations, tax forms, and other required documents.
  • Assist with new employee setup, onboarding, orientations, required training, and follow-up to ensure timely completion of onboarding requirements.
  • Ensure proper completion and maintenance of Form I-9 and E-Verify requirements.
  • Maintain accurate, organized, and confidential electronic and physical personnel, HR, and payroll records.
  • Conduct periodic audits of employee files and HR/payroll records to ensure completeness, accuracy, and compliance.
  • Assist employees and supervisors with questions regarding HR forms, policies, procedures, payroll, leave, benefits, and employment-related matters.
  • Maintain professional working relationships with PIs, budget analysts, department supervisors, faculty, and employees.
  • Assist with benefits administration, leave management, employee status changes, and separation/offboarding processes.
  • Prepare HR and payroll reports, spreadsheets, correspondence, tracking logs, and other documentation as needed.
  • Assist with HR compliance activities, audits, Affirmative Action Plan requirements, and applicable employment and payroll regulations.
  • Coordinate mandatory training, onboarding assignments, performance evaluation deadlines, and other HR-related activities.
  • Maintain confidentiality and exercise sound judgment when handling sensitive employee, payroll, compensation, benefits, and personnel information.
  • Identify opportunities to improve HR and payroll processes, maintain data integrity, and improve efficiency and employee service.
  • Prioritize multiple assignments, establish deadlines, and complete projects accurately and timely.
  • Perform other related duties as assigned.

  • Accountability:

    Performance is evaluated on the achievement of individual goals and objectives, the accuracy of analysis and verification of data, and the performance of job duties as related to HR/Payroll Coordinator.

    Requirements:

    • 2+ years of Human Resources and/or payroll experience.
    • Possess excellent written and verbal communication skills.
    • Knowledge of ADP Workforce Now software is a MUST.
    • Excellent inter-personal, leadership, training, developmental skills, negotiation, and conflict resolution skills.
    • Proficient with Microsoft Office or related software.
    • Strong attention to detail.
    • General understanding of labor laws.

    Desired Qualification:

    • Bachelor’s degree (or equivalent) in human resources, business, or related field
    • Proven success working in an HR department
    • Resourceful mindset and strong attention to detail
    • Knowledge of national laws and regulations related to employment

    Physical Requirements: Ability to sit for several hours, use traditional office equipment, reach, grasp, and lift packages.

    The HR & Payroll Coordinator must demonstrate an interest or ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the UAS. Failure to satisfactorily complete the background check may affect the application status of applicants or the continued employment of current UAS employees who apply for the position.
