Office Administrative Assistant / Front Desk – KP&C

Job Type: Full-Time, Onsite
Location: 14401 W 65th Way, Unit B, Arvada, CO 80004
Schedule: Monday–Friday, 7:30 AM–4:30 PM
Salary: $27–$32/hour - $56,160.00 - $66,560.00

Position Summary

We are seeking a highly organized, professional, and service-oriented Office Administrative Assistant to support daily office operations and serve as a welcoming point of contact for employees, vendors, visitors, and business partners.

This is a fast-paced, highly interactive role for someone who thrives in an interrupt-driven environment, confidently manages competing priorities, and takes ownership of getting things done. The ideal candidate is exceptionally organized, technology-savvy, courteous, and proactive, with a natural ability to identify opportunities to improve processes, increase efficiency, and keep the workplace running smoothly.

This position works across the organization and serves as a liaison with Human Resources, Talent Acquisition, Training, Finance, IT, Operations, and other internal departments, as well as administrative teams at other company locations and parent-company resources.

Key Responsibilities

Office Administration & Front Desk

  • Manage daily administrative and front desk operations, including visitors, contractors, candidates, vendors, mail, supplies, records, and employee support.
  • Serve as a professional, friendly, and knowledgeable first point of contact.
  • Maintain organized electronic and physical files, forms, and shared resources.
  • Manages employee badge and building access administration.
  • Identify administrative needs and independently develop practical solutions.
  • Create, update, and maintain SOPs, Work Instructions, guides, checklists, and other administrative process documentation. Partner with department leaders and subject matter experts to document processes and reduce reliance on tribal knowledge.

Communications & Company Support

  • Draft and distribute companywide communications, announcements, newsletters, reminders, and employee information.
  • Coordinate cross-functional communications to ensure information is accurate, timely, and professional.
  • Assist with employee appreciation initiatives, company events, and workplace activities.

Meeting, Travel & Event Coordination

  • Coordinate meetings, calendars, conference rooms, technology, catering, materials, and refreshments.
  • Ensure conference rooms are clean, organized, and meeting-ready.
  • Support Microsoft Teams and other virtual meeting technology.
  • Coordinate business travel, including flights, hotels, rental cars, and ground transportation.
  • Prepare and process expense reports, and reimbursements.
  • Plan and coordinate company events, lunches, celebrations, leadership activities, and other workplace events from planning through completion.

Technology & Systems

Strong computer skills and the ability to quickly learn new technology are essential. Experience with the following is preferred:

Microsoft 365 | Outlook | Teams | Word | Excel | PowerPoint | SharePoint | ClickUp | Concur | JobBOSS

Qualifications & Core Competencies

  • 3+ years of administrative, office coordination, or related experience preferred.
  • Experience in manufacturing, assembly, production, engineering environment preferred.
  • Excellent organizational, time-management, written, follow through, and verbal communication skills.
  • Ability to manage multiple priorities, frequent interruptions, and changing demands while maintaining accuracy and professionalism.
  • Strong attention to detail, follow-through, judgment, and problem-solving skills.
  • Comfortable interacting with employees and leaders at all levels of an organization.
  • Ability to work independently, maintain confidentiality, and take initiative without constant direction.
  • Strong Microsoft 365 proficiency and demonstrated ability to learn new technology quickly.
  • High school diploma or equivalent required; additional education or certifications are a plus.
  • Bilingual English/Spanish skills are a plus, but not required.
