- Receives, documents, prioritizes, routes, and tracks service requests through verified closure. Coordinates HVAC, plumbing, electrical, elevator, pest-control, janitorial, breakroom, appliance, furniture, and general building repairs while preventing duplicate requests.
- Conducts and documents routine facility walks and coordinates preventive maintenance for PSA-controlled systems, including UPS, generators, split-unit HVAC, and related electrical equipment. Identifies alarms, leaks, temperature concerns, fuel or fluid issues, housekeeping risks, and conditions that could affect operational continuity.
- Serves as the day-to-day liaison with property management, building engineering, and specialty vendors. Maintains current scopes, contacts, service schedules, contracts, quotes, warranties, and open-item logs; coordinates site access; inspects completed work; and closes items only after satisfactory completion.
- Coordinates alarm tests, inspections, fire drills, and other required building or fire-code activities. Supports emergency preparedness, incident communications, contingency locations, restoration testing, and final all-clear notices with IOC, IT, Security, property management, and repair vendors.
- Controls keys, fobs, and room-access records; facilitates contractor badging and renewals; pre-registers visitors; coordinates escorts and arrival windows; and partners with security providers to validate the operation of doors, e-gates, cameras, and surveillance equipment.
- Tracks furniture defects and out-of-service items, coordinates warranty and repair visits, manages workspace reconfiguration requests, supports furniture and finish punch-list work, and routes audiovisual issues to IT through resolution.
- Develops and maintains itemized facility budgets and forecasts for rent, services, and repairs. Monitors recurring costs, invoices, commitments, lease or site-transition milestones, and funding needs. Preserves complete, auditable records for service activity, contracts, inspections, and assets.
- Delivers consistent support for HQ, BRCC, legacy DAY facilities, warehouses, and other non-HQ locations. Defines landlord, vendor, and PSA responsibilities; coordinates local repairs and chargeback ownership; and, if assigned, maintains vehicle titles, registrations, tags, insurance documentation, and location records.
- Addresses employee and tenant needs promptly, communicates clear notices for outages, testing, holiday closures, and service limitations, and delivers concise status updates, risks, and escalation needs to leadership and affected stakeholders.
- Responsible for the Company's Security and Safety Management System (SMS) and associated Safety Risk Management and Safety Assurance outputs.

- High school diploma or equivalent.
- Demonstrated experience coordinating facilities, building services, property operations, maintenance vendors, construction punch-list work or a comparable operational function.
- Working knowledge of common commercial building systems, including HVAC, electrical, plumbing, backup power, access control and life-safety systems, with the judgment to identify issues and engage qualified specialists.
- Experience managing service requests, vendors, contracts, warranties, quotes, invoices and completion documentation.
- Ability to maintain organized, accurate and auditable records, budgets, schedules and asset inventories.
- Strong written and verbal communication skills, customer-service orientation and ability to coordinate across Finance, IT, IOC, Security, property management, landlords and external vendors.
- Ability to work onsite, including weekends; participate in holiday on-call coverage; and respond onsite after hours as needed during facility emergencies.
- Ability to safely walk facilities, access equipment areas and perform routine visual inspections, with or without reasonable accommodation.
- Ability to speak/read/write in English.
- If hired, must be able to demonstrate that you are authorized to work in the U.S.
- Associate’s degree in facilities management, engineering, construction management, business administration or a related field.
- Background in commercial building maintenance, facilities engineering or property management.
- Intermediate familiarity with UPS and generator operation, including Human Machine Interface panels and associated electrical gear.
- Experience with preventive maintenance programs, computerized work-order or CMMS platforms, vendor sourcing and tenant-improvement coordination.
- Relevant professional certification such as FMP, CFM or equivalent facilities credential.
Supervisory Responsibility: This is not a supervisory position.
Delegation: In absence, responsibilities delegated to Managing Director of Finance and Payroll.
