About the Role:
The Executive Assistant will play a pivotal role in supporting senior leadership within the luxury auto industry by managing complex schedules and ensuring seamless daily operations. This position requires a proactive professional who can efficiently coordinate calendar management, travel arrangements, and meeting logistics to optimize the executive's time and productivity. The Executive Assistant will serve as a key liaison between the executive and internal teams, clients, and external partners, facilitating clear communication and timely follow-ups. Minimum Qualifications:
- Proven experience as an Executive Assistant or in a similar administrative role within a fast-paced environment.
- Proficiency in Microsoft Office Suite, particularly Word and PowerPoint.
- Strong organizational skills with demonstrated ability to manage multiple priorities and deadlines.
- Excellent verbal and written communication skills.
- Ability to handle confidential information with discretion and professionalism.
Preferred Qualifications:
- Familiarity with advanced calendar management tools and travel booking platforms.
- Knowledge of project management principles and software.
- Bachelor’s degree or equivalent professional certification in business administration or related field.
- Experience supporting C-level executives.
Responsibilities:
- Manage and maintain the executive’s calendar, scheduling appointments, meetings, and events with attention to detail and priority alignment.
- Coordinate complex travel arrangements including flights, accommodations, and transportation to ensure efficient and cost-effective itineraries.
- Prepare, edit, and format presentations and documents using Microsoft PowerPoint and Word to support executive communications and meetings.
- Arrange and facilitate meetings by coordinating logistics, preparing agendas, and ensuring all necessary materials are available.
- Provide general administrative support such as handling correspondence, managing files, and assisting with special projects as needed.
