IT Administrator in Bogart, Georgia at Ulm Automotive LLC
Job Description
Company: Ulm Automotive
Department: Finance and Administration
Reports to: GM / Operations / Finance
Location: Bogart, GA (on-site)
Employment type: Full-time, salaried, exempt; paid weekly
Direct reports: None (manages outside IT vendors and service providers)
Position Summary
The IT Administrator is the company's in -house technology owner. Ulm upfits new Mercedes-Benz Sprinter vans into luxury passenger vehicles and sells them wholesale to dealerships. The business runs on Microsoft 365, QuickBooks, Katana MRP, Paylocity, engineering CAD workstations, and CNC equipment on the shop floor, and it is growing quickly in headcount, vehicles, and data.
This role keeps every user, device, system, and network working and secure. It is a hands -on generalist seat: the IT Administrator sets up new hires on day one, fixes what breaks, runs Microsoft 365 administration, protects company and OEM data, keeps backups that actually restore, and manages the outside vendors who supply internet, phones, hardware, and software. It suits a practical problem solver who is just as comfortable at a CNC controller on the shop floor as in the Microsoft 365 admin center, and who would rather prevent an outage than explain one.
Key Responsibilities
User Support and Onboarding
- Provide first-line and second-line support for all employees by ticket, phone, and in person; log every request and close it with a written resolution.
- Build and issue laptops, desktops, phones, and tablets for new hires, so they are ready on the first day, using a standard image and checklist.
- Run onboarding and offboarding with HR: create accounts, assign licenses and groups, and on separation disable access the same day, recover equipment, and transfer files and mailboxes.
- Maintain a hardware and software asset register by user and serial number, including warranty dates and license counts.
- Train employees on company systems, secure email habits, and phishing awareness.
Microsoft 365 and Business Systems
- Administer Microsoft 365: Exchange Online, Teams, SharePoint, OneDrive, Forms, and Power Automate, including users, groups, shared mailboxes, distribution lists, and licensing.
- Own the company's domains and DNS records, email security settings (SPF, DKIM, DMARC), and the company website hosting relationship.
- Serve as the technical administrator for QuickBooks, Katana, Paylocity, and other cloud applications: user access, roles, integrations, and vendor support tickets. Business owners decide who gets access; IT sets it up and keeps a record.
- Support Power Automate flows and scheduled reports that the business depends on and alert the owner the same day when one fails.
- Support engineering CAD workstations and licenses, plotters, and printers, and keep shop -floor PCs, CNC equipment computers, and production tablets running.
Security and Data Protection
- Enforce multi-factor authentication on every account, a company password manager, and least -privilege access; no shared logins.
- Manage endpoint protection, patching, and device encryption on all company computers and phones.
- Run backups for Microsoft 365, cloud applications, and on -site data, and test a restore at least quarterly.
- Protect confidential OEM engineering data and supplier and customer information under the company's NDAs and supplier access terms.
- Watch for and respond to security incidents: phishing, compromised accounts, malware, and lost devices. Report any incident to management the same day and keep an incident log.
- Support Finance's controls against payment fraud: suspicious payment or bank -change requests are verified by phone before anyone acts.
- Maintain the written IT policies (acceptable use, access control, backup and recovery, and incident response) and support cyber insurance applications and renewals.
Network, Facilities, and Vendors
- Manage the office and shop network: internet service, firewall, switches, Wi -Fi coverage across the facility, printers, and phones.
- Plan the technology for new space and equipment: cabling, access points, workstations, and security cameras or badge access where assigned.
- Manage outside IT vendors and service providers and review every IT invoice and renewal before it is approved.
- Prepare the annual IT budget and a hardware replacement schedule for Finance and request every IT purchase on a purchase order under the company's purchasing procedure.
- Keep network diagrams, admin account records, vendor contacts, and system documentation current and stored where management can reach them if the IT Administrator is unavailable.
- 3+ years in IT support or systems administration, ideally as the main IT resource for a small or mid -sized business.
- Hands-on Microsoft 365 administration: users, licensing, Exchange Online, SharePoint, OneDrive, and Teams.
- Experience with Windows 10/11 deployment and management, and with Microsoft Entra ID (Azure AD) and Intune or a similar device management tool.
- Working knowledge of networking: TCP/IP, DNS, DHCP, VLANs, firewalls, VPN, and Wi -Fi.
- Experience with backup, endpoint protection, and multi -factor authentication tools.
- Clear, patient communication with nontechnical users, and the judgment to know when to escalate to a vendor.
Preferred Qualifications
- IT experience in a manufacturing, automotive, or shop -floor environment, including CAD workstations or CNC equipment.
- Experience supporting QuickBooks, an ERP or MRP system, or a payroll platform such as Paylocity.
- Power Automate or scripting skills (PowerShell).
- CompTIA A+, Network+, or Security+; Microsoft 365 Administrator certification.
- Associate or bachelor's degree in information technology or a related field.
- Bilingual English/Spanish.
Competencies
- Reliability: systems are up, backups restore, and people can work.
- Security mindset: treats every access request, link, and payment -change email as something to verify.
- Service: solves the user's problem, explains it in plain language, and follows up.
- Documentation: writes it down so the next person, or management, can find it.
- Confidentiality: handles payroll, financial, and OEM data with discretion.
Success in the First 12 Months
- 90 days: Owns the help desk and onboarding. Every account has multi -factor authentication, the asset register is complete, all admin credentials are in the company password manager, and backups are running for every critical system.
- 6 months: A first restore test has passed, devices are centrally managed and patched, the written IT policies are approved, and the network is documented.
- 12 months: New hires are fully set up before day one, no unplanned outage has stopped production, the IT budget and replacement schedule are in place, and the company is ready for its cyber insurance renewal.
Physical & Work Environment
Office-based at the Bogart facility, with daily time on the production floor (PPE required in designated areas). Lifting up to 50 pounds and occasional work on ladders for network equipment. Occasional after -hours or weekend work for maintenance windows and urgent outages.
Compensation & Benefits
- Salary range: $75,000 to $95,000 per year, commensurate with experience
- Medical, dental, and vision coverage
- Paid time off and holidays; professional certification support (CompTIA, Microsoft)
