The position plays a critical role in ensuring seamless coordination across executive initiatives, board activities, and strategic organizational priorities. Working remotely, you will manage high-level administrative responsibilities, facilitate governance processes, and help maintain operational excellence across multiple stakeholders and projects. Accountabilities:
  • Provide high-level administrative and operational support to executive leadership, including managing complex calendars, coordinating travel arrangements, and overseeing meeting logistics with internal and external stakeholders.
  • Coordinate governance-related activities by preparing and distributing board and committee materials, maintaining accurate meeting records, and ensuring compliance with governance standards and documentation processes.
  • Organize and facilitate board meetings, executive committee meetings, retreats, and strategic events while proactively managing timelines, priorities, and logistical requirements.
  • Draft, edit, and review presentations, reports, correspondence, and other key documents while conducting research and compiling information to support executive decision-making.
  • Track multiple projects, deadlines, budgets, and operational priorities simultaneously, ensuring smooth execution across executive and governance functions.
  • Maintain organized filing systems and confidential records with a high level of accuracy, discretion, and professionalism.
  • Support administrative finance-related processes, including documentation of purchases, expense tracking, and reimbursement coordination.
Requirements:
  • Bachelor’s degree combined with at least 7 years of relevant professional experience, or an equivalent combination of education and hands-on experience.
  • Proven experience supporting senior executives, leadership teams, or boards in high-level administrative or governance-focused roles.
  • Exceptional organizational, multitasking, and project coordination skills with the ability to manage evolving priorities independently.
  • Strong written and verbal communication abilities, including experience preparing professional documentation, reports, and meeting materials.
  • Demonstrated ability to handle confidential information with integrity, sound judgment, and professionalism.
  • Excellent interpersonal skills with the ability to collaborate effectively across diverse teams, stakeholders, and organizational environments.
  • Strong analytical and problem-solving capabilities, with the ability to anticipate needs and proactively address operational challenges.
  • Comfortable working remotely with reliable internet access and flexibility to travel periodically for meetings, conferences, and organizational gatherings.
  • Resilient, adaptable, detail-oriented, and capable of thriving in collaborative, mission-driven, and fast-paced environments.
