Accounting Manager

El Camino Health Medical Network is currently seeking a talented Accounting Manager to join our growing healthcare team!

Pay: $104,000-$175,000 annually

Location: Los Gatos, CA (on-site)

Schedule: 8:00am-5:00pm

The Accounting Manager will play a critical role in overseeing and managing various accounting functions within ECHMN. This role involves supervising accounting staff, preparing both internal and external financial statements, monitoring general ledger accounts, and ensuring the accuracy of monthly, quarterly, and yearly financial reporting.

The Accounting Manager will conduct financial analyses, review budget variances, and manage special projects to improve financial operations. Additionally, the role will involve evaluating existing accounting procedures and recommending innovative solutions to streamline operations and reduce costs.

The Accounting Manager will also serve as the primary owner of gross and net revenue reporting, contractual allowance analysis, and collectibility modeling for ECHMN, collaborating directly with the Director of Revenue & Reimbursement at ECH to ensure alignment of revenue and reimbursement assumptions across the health system.

Essential Functions:

Financial Reporting:

  • Prepare Financial Statements: Utilize knowledge and experience to prepare financial statements in accordance with GAAP. Collect and analyze data, perform complex calculations, and generate a variety of schedules and statements to support and explain financial statement information.
  • Journal Entries & Interfaces: Review and prepare monthly journal entries and interfaces to ensure accurate recording of all financial statement activities. Perform technical calculations and prepare schedules necessary for journal entries.
  • Process Improvement: Apply advanced accounting techniques to assess existing financial transaction recording procedures, recommending and implementing improvements to enhance the accuracy and efficiency of accounting operations.
  • Annual Reporting: Coordinate the collection of data for annual reporting, including preparing schedules for the 990 Tax Returns and supporting client-prepared schedules requested by external and regulatory auditors.
  • Variance Analysis: Analyze actual financial performance (expenses and revenues) versus budgeted performance. Investigate variances, estimate future expenditures, and recommend improvements to enhance financial performance.
  • Partner with Revenue Cycle, Patient Accounts, and Reimbursement teams to monitor payer performance, collection trends, reimbursement accuracy, and accuracy of GL coding and account classification.
  • Partner with FP&A or leadership on strategic financial initiatives and capital planning
  • Regulatory Compliance: Prepare quarterly and annual regulatory filings in full compliance with State and Federal regulations.
  • Coordinate external audit fieldwork and act as primary liaison for auditors during interim and year-end audits
  • Financial Communication: Produce and communicate accurate monthly financial results, including detailed written analysis. Maintain and update supporting schedules and documentation for financial reporting.
  • Balance Sheet Reconciliations: Ensure timely preparation and completion of monthly balance sheet reconciliations and sign-offs.
  • Budget Assistance: Support the development of the organization's annual operating and capital budgets by contributing financial insights and analysis.

Collaboration & Communication:

  • Process Improvement Initiatives: Develop and implement policies and procedures to streamline the monthly closing cycles and reporting processes, ensuring efficiency and timeliness.
  • Issue Resolution & Support: Address accounting and reporting queries in a courteous, thoughtful, and timely manner. Provide training and ongoing support to new personnel within the organization.
  • Continuous Learning & Development: Stay up to date on industry trends, developments, and best practices by reading relevant literature, attending seminars, and participating in conferences.
  • Continuous Improvement: Champion continuous improvement efforts by developing and implementing accounting procedures focused on streamlining operations and optimizing processes.
  • Patient Experience: Contribute to enhancing the overall patient experience and satisfaction by supporting organizational goals related to financial accuracy and operational efficiency.
  • Performance Improvement: Actively participate in performance improvement activities, providing financial insights and suggestions for enhancing processes and outcomes.
  • Compliance & Policies: Adhere to organizational policies, including HR, safety, HIPAA, compliance, and attendance requirements.
  • Timely & Efficient Work: Perform duties according to established schedules, policies, and procedures, ensuring timely completion and adherence to organizational goals.
  • Other Duties: Perform additional duties and assume other responsibilities as assigned by management, to support departmental and organizational needs.

Minimum Requirements:

  • Bachelor’s degree in accounting, Finance, or a related field.
  • At least 5-10 years of accounting/finance experience, ideally within an ambulatory care organization (e.g., medical foundation, medical group, managed care, or provider organization).
  • Proven experience with general ledger maintenance, financial reporting, and budget analysis.
  • Strong knowledge of accounting principles and financial systems to prepare and maintain accurate financial records.
  • Excellent organizational skills with a demonstrated ability to prioritize and manage time effectively in a fast-paced environment.
  • Demonstrated experience in developing and improving accounting processes and systems for efficiency.

Knowledge/Skills:

  • Accounting Knowledge: Solid understanding of accounting principles and systems, with the ability to maintain general ledgers, prepare journal entries, and produce related financial statements and reports.
  • Technical Proficiency: Strong skills in spreadsheet and word processing software, preferably in a Windows environment. Knowledge of accounting software (e.g., PeopleSoft, Workday, Great Plains, EPSI) is highly preferred.
  • Analytical Abilities: Strong analytical skills to conduct complex and detailed analysis of financial issues, accounting systems, and organizational performance.
  • Communication Skills: Ability to convey complex accounting and financial information clearly to non-financial personnel in a courteous and professional manner. Capable of discussing sensitive financial matters with physicians and their families tactfully.
  • Verbal and Written Communication: Excellent verbal and written communication skills with active listening abilities to ensure clear, professional interactions.
  • Patient/Guest Relations: Strong interpersonal skills, with the ability to communicate effectively and professionally in patient and guest interactions, ensuring a positive experience.
  • Teamwork and Cooperation: Ability to work collaboratively with others in a flexible, cooperative manner. Willingness to assist colleagues and contribute to the team’s success.
  • Attention to Detail: Exceptional attention to detail to ensure accuracy in financial reporting and compliance with internal and external requirements.
  • Time Management: Ability to prioritize tasks, manage competing deadlines, and complete assignments within the required timeframes to maintain smooth workflow.
  • Problem Solving: Strong ability to troubleshoot and resolve accounting and reporting issues efficiently.
  • CPA (Certified Public Accountant) or MBA (Master of Business Administration) preferred.
  • Experience with PeopleSoft, Workday, Great Plains, and EPSI accounting systems is highly preferred.
  • Familiarity with EPIC EMR (Electronic Medical Record) systems is a plus.
  • Knowledge of accounting principles and systems in order to maintain general ledgers and journals and prepare related financial statements and reports.
  • Spreadsheet and word processing abilities preferably in Windows environment.
