Purpose of Position
To provide exceptional service to the KICA membership while promoting community by coordinating private events and encouraging island-wide use of facilities and amenities.
Responsibilities and Duties
- Assist members in planning and executing private events for property owners of Kiawah Island, their families and sponsored friends who use the Recreation Department facilities as a base of operations. Manage event logistics, vendor management, timeline, and on-site management.
- Assist Sr Events Coordinator with community events and programs.
- Promote a sense of community and to encourage island-wide use of Recreation Department facilities, including, but not limited to, Sandcastle, Beachwalker Center, and Cinder Creek.
- Coordinate with KICA staff, other Kiawah entity recreation departments, contracted services, and other island employees.
- Prepare agenda for the weekly events meeting to inform staff of all details for upcoming events.
- Provide clear communication with members regarding their events.
- Manage the Sandcastle events calendar and event department spreadsheets.
- Manage event contracts, place charges into members' accounts, and keep track of payments and deposit spreadsheets.
- Build relationships with, liaise with, and manage the logistics of all vendors.
- Manage the facility in preparation of the event and address potential problems.
- Be present for each event, and be the event's primary point of contact for the vendors, coordinators and member host.
- Ensure the facilities and catering kitchen are secured and left in adequately clean condition according to KICA Standards.
- Ensure that the event ends promptly to adhere to the Town of Kiawah ordinances.
- Close and secure the facilities at the end of the event.
- Assist Member Services team with member groups and clubs as needed.
- Follow all company policies and procedures to the Kiawah Standards.
- Work efficiently to reduce costs.
- Other duties as assigned.
- Degree in Event Planning, Recreation/Hospitality, Business Management or related field; or 2 years of relevant experience.
- Experience with Tripleseat and other event management software preferred.
- Ability to provide quality service to a diverse property owner clientele.
- Ability to diagnose abnormal and emergency conditions and take positive corrective measures to ensure safety and service.
- Ability to interact effectively with Members, KICA Staff, and vendors.
- Able to work flexible schedules, including events scheduled on weekends and nights.
- Punctual, alert, and with a high degree of initiative and foresight.
- Proven patron service skills.
- Excellent oral and written communication ability.
- Computer skills include data entry and basic knowledge of Microsoft Word, Excel, PowerPoint, Canva, and Prism.
Physical Requirements:
- Prolonged periods standing, walking, and sitting at a desk.
- Repetitive motion involved with standard administrative office work.
- Must be able to lift up to 30 pounds at a time.
Other requirements:
- Pass a pre-employment drug screen, criminal background check, and driving record check.
- Maintain a valid South Carolina Drivers License
