Title: Shipping and Receiving - Storekeeper IV

Unit: AFSCME, Unit II

Reports To: Director of Facilities Management, Bedford Campus

Date: August 7, 2026

General Summary: Incumbents of this position unpack and examine incoming goods; purchase supplies and equipment; store goods, supplies and equipment; mark identifying codes, etc. on articles; issue supplies, materials and equipment; maintain records; take inventories; and perform related work as assigned. The basic purpose of the position is to receive, store, issue, ship and purchase supplies, materials and equipment for use on the College's Bedford Campus.

Duties and Responsibilities:

  • Unpacks and examines incoming goods to verify quality, quantity and condition of goods for conformance to specifications, including counting, weighing and/or sorting incoming articles
  • Stores goods, supplies and equipment in appropriate storage containers according to size, shape and type
  • Marks identifying codes, figures or letters on articles and attaches tags to articles for identification purposes
  • Issues supplies, materials and equipment to users in accordance with established procedures
  • Maintains records and logs of items received, issued and shipping including description of articles, type and other identifying information in accordance with established procedures
  • Takes physical inventory of supplies and equipment to determine actual amounts on hand, to review and/or reconcile stock records to detect spoilage, damage or variances in quantity
  • Performs related duties such as loading and unloading items to and from trucks; maintaining general appearance of stockroom; weighing materials and other equipment to locations using hand trucks
  • Determine and order quantity, type style, etc. of items needed including taking physical inventories to determine actual amounts on hand. Also, review and/or reconcile stock records to determine spoilage, damage, or variances in quantity insure adequate inventory for College office supply needs
  • Provide on-the-job training for employees of lower grade(s)
  • Reviews requisitions, invoices, orders and other records to determine resources required to meet shipping and receiving needs, to determine availability of goods and to ensure accuracy and completeness of documents
  • Acts as a liaison with vendors and suppliers in order to exchange information and resolve problems that may arise
  • Oversees receiving and issuing activities to ensure proper quantity, quality, condition of goods and compliance with College procedures
  • Oversees activities of storeroom workers of lower grade(s) in loading, unloading, storing and distributing materials and equipment
  • Reviews storeroom records for accuracy of information, compliance with College procedures and to determine stock levels
  • Observes work in progress of subordinates engaged in storeroom activities to ensure compliance with established standards
  • Recommends methods and procedures to be used in handling, storing, issuing and shipping storeroom items
  • Coordinates activities of workers engaged in storekeeping activities to ensure effective operations and compliance with established standards
  • Evaluates storekeeping activities in order to determine effectiveness and to make recommendations concerning changes as needed
  • Confers with superiors in order to provide information and resolve programs
  • Serves as first response team member for all types of urgent problems and emergencies; is essential personnel for the College. Reports observations of maintenance, security and safety related matters to appropriate Facilities Management staff
  • Assists with and/or performs other Facilities Management related and essential duties as required, such as snow removal, event setups and special events


Job Requirements:
  • Applicants must have (A) at least three years of full-time, or equivalent part-time, experience in storekeeping work in a storeroom, stockroom, or warehouse, the major duties of which include receiving, storing, and issuing supplies and equipment, and (B) of which at least one year must have been in a supervisory or administrative capacity

  • Ability to understand and apply the laws, rules, regulations, policies, procedures, specifications, standards and guidelines governing assigned unit activities

  • Ability to make arithmetical computations (addition, subtraction, multiplication, and division) with speed and accuracy

  • Ability to read, write and comprehend the English language

  • Ability to follow written and oral instructions

  • Ability to work accurately with names, numbers, codes and/or symbols

  • Ability to gather information by examining records and documents

  • Ability to assemble items of information in accordance with established procedures

  • Ability to maintain accurate records

  • Ability to deal tactfully with others

  • Ability to exercise sound judgement

  • Ability to list and carry heavy objects

  • Ability to stand for prolonged periods of time

  • Requires physical stamina and endurance

  • Requires knowledge of standard storekeeping methods and practices, including the receipt, storage, issuance and delivery of varied stock items including perishable goods

  • Knowledge of proper storage methods such as palatizing and binning

  • Knowledge of the types and uses of materials handling equipment used in storekeeping

  • Knowledge of the standard methods and techniques for handling and storing hazardous products and fragile, durable and perishable goods

  • Knowledge of the standard recordkeeping techniques and procedures used in storekeeping

  • Knowledge of the principles and methods of inventory control of supplies and equipment

  • Knowledge of safety practices and procedures followed in storekeeping

  • Knowledge of standard procedures, methods and materials used in packaging materials and supplies for shipment

  • Knowledge of the various methods used in transporting goods, materials and equipment

  • Knowledge of the terminology, coding, symbols and standard abbreviations used in storekeeping

  • Knowledge of the methods and procedures used for the security of property

  • Knowledge of the types and uses of small hand tools such as pliers, screwdrivers, etc.

  • Ability to supervise, including planning and assigning work according to the nature of the job to be accomplished, the capabilities of subordinates and available resources; controlling work through periodic reviews and/or evaluations; determining subordinates' training needs and providing or arranging for such training; motivating subordinates to work effectively; determining the need for disciplinary action and either recommending or initiating disciplinary action.

  • Ability to explain the laws, rules, regulations, policies, procedures, specifications, standards and guidelines governing assigned unit activities

  • Ability to prepare general reports
