About the role

The Programs Specialist is responsible for the administrative infrastructure and data integrity of the organization’s sponsorship programs. This role manages the end-to-end lifecycle of player accounts—including onboarding, contract management, and order fulfillment—utilizing various database platforms and low-code applications. The Programs Specialist ensures operational efficiency by maintaining accurate records and providing high-level support to over 500 sponsored players.

Key ResponsibilitiesProgram Administration & Data Integrity
  • Maintain and audit multiple database platforms to ensure 100% accuracy of player records and sponsorship status.
  • Manage over 500 active player sponsorship accounts, ensuring zero lapse in contract coverage.
  • Update player accounts with current contact information, addresses, and status changes across all internal systems.
  • Execute the offboarding process by removing player accounts across all platforms upon contract termination.
Contract Management & Compliance
  • Generate and distribute contracts via Palantir for both new player acquisitions and annual renewals.
  • Analyze reimbursement requests to determine payment eligibility according to specific contract terms.
  • Collaborate closely with the Programs Manager and ownership to verify contract accuracy and alignment with program goals.
  • Utilize low-code applications to automate and send monthly renewal forms.
Fulfillment & Player Support
  • Verify and manage player account tags to enable self-service purchasing via the B2B portal. Ensure players are correctly categorized within the system to facilitate accurate order processing and equipment access.
  • Manage the allocation of player credits and incentives through database tools and automation.
  • Serve as the primary administrative point of contact for sponsored players, resolving inquiries via Service Engine and email.
  • Monitor Zapier "Zaps" and automated workflows to ensure seamless communication and data transfer.
Process Development & Reporting
  • Proactively monitor Jotform functionality and immediately notify the Digital Solutions team of any system failures or operational issues to facilitate rapid resolution.
  • Edit, format, and create comprehensive training materials and SOPs for program operations. Ensure all SOPs are updated as processes change and are properly integrated into Trainual.
  • Conduct data gathering and analysis to provide insights on program performance and player engagement.
  • Make recommendations to program manager as you find ways to improve

Qualifications

Required:
  • Exceptional proficiency with spreadsheets and database management.
  • Strong technical aptitude with the ability to manage workflows and low-code applications.
  • Minimum 40 WPM typing speed.
  • High level of integrity and dependability with a strong sense of urgency regarding deadlines.
  • Excellent written and verbal communication skills for professional player interaction.
  • Proven ability to work independently in a detail-oriented, "behind-the-scenes" capacity.
Preferred:
  • Experience with data management software and/or CRM’s
  • Familiarity with contract administration or legal clerical work.
  • Previous experience in data analysis or process improvement.
  • Interest in the pickleball industry or sports management.
