Job Description

The Warehouse Operations Coordinator keeps outbound shipments accurate, documented, and on schedule. Reporting to the Warehouse Manager, this role prepares shipping documents in the warehouse management system (WMS), schedules truckload (TL) shipments, coordinates less-than-truckload (LTL) and TL carrier pickups, and serves as the main point of contact for drivers at the dock. The coordinator works with other Capsa warehouses and departments to improve logistics, warehouse, and customer service operations, supports the warehouse team with administrative tasks, and helps train new employees. The scope of this role may expand over time.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following; other duties may be assigned:


Shipping Documentation

  • Create bills of lading, packing slips, and pick tickets for outgoing shipments in the WMS.
  • Confirm shipment details, including quantities, weights, ship-to addresses, and freight class, before release.
  • Post out LTL and TL shipments in the WMS after carrier pickup.
  • Keep shipping records and files complete, organized, and current.

    • Carrier & Driver Coordination

  • Schedule truckload (TL) shipments and coordinate LTL carrier pickups.
  • Serve as the point of contact for drivers during check-in, loading, paperwork, and departure.
  • Communicate with carriers on pickup times, delays, and delivery issues, and escalate problems to the Warehouse Manager.
  • Compare carrier options and plan routes to balance freight cost, transit time, and customer delivery dates.

    • Inventory Control & Process Improvement

  • Support inventory control by keeping shipment postings accurate and assisting with cycle counts and inventory reconciliation.
  • Identify and recommend best practices that improve efficiency in warehouse and office operations.

    • Cross-Department Collaboration

  • Work with other Capsa warehouses and departments to improve logistics, warehouse, and customer service operations.
  • Share shipment status and tracking information with customer service and sales teams as needed.

    • Administrative Support & Training

  • Provide administrative support to the warehouse team, including data entry, reporting, and document management.
  • Assist management in training new warehouse employees on shipping processes and the WMS.
