Job Description

Who is Rensa Filtration?

Rensa Filtration is a family of companies dedicated to air filtration. By investing in innovation and the people who drive it, we manufacture, market, and distribute best-in-class solutions in the United States and Canada that keep environments safe and industries thriving.

What We Do

  • We improve the environment - making indoor and outdoor environments cleaner by eliminating process contaminants through superior products and media.
  • We drive innovation in air filtration – by investing in the people and companies that develop the solutions that today’s world demands – to bring those innovative products to market so that our customers can bring maximum value and safety to the facilities and businesses they serve.
What you will do:

The Customer Service & Sales Support Associate plays a critical role in supporting customers, sales representatives, and internal operations by delivering exceptional customer service and administrative support. This position serves as a key point of contact for customers, managing inquiries, processing orders, coordinating order fulfillment, and supporting day-to-day sales activities. The ideal candidate is highly organized, able to work independently, detail-oriented, customer-focused, and thrives in a fast-paced environment while helping drive customer satisfaction and business growth.

You will serve as a strategic partner to a leading sales representative. In this role, you’ll be the engine behind one of our most successful sales relationships: managing the order-to-cash cycle, keeping key accounts running smoothly, and freeing up the sales rep to focus on growing the business. You’ll serve as a trusted point of contact for customers, including hospital, data center, and commercial accounts, and your work will directly impact customer retention, revenue, and cash flow.

Essential Duties and Responsibilities

  • Serve as a primary point of contact for customer inquiries via phone and email, providing prompt and professional assistance.
  • Enter, process, and manage customer purchase orders accurately and efficiently.
  • Create sales orders from approved customer quotes and ensure timely order fulfillment.
  • Support sales representatives with account management, quote preparation, order tracking, and customer follow-up activities.
  • Coordinate order entry, shipment tracking, and delivery schedules to ensure customers receive products on time.
  • Maintain accurate customer records and document customer interactions within CRM and business systems.
  • Schedule meetings, maintain department records, and provide general administrative support to the sales team.
  • Manage monthly hospital service accounts scheduling, tagging, and purchase orders.
  • Ownership of the billing and collections cycle for specific sales representatives; focused on generating, reviewing and issue customer invoices.
    • Partner with sales and account managers to resolve billing discrepancies.
    • Conduct professional outbound customer calls for collections.
    • Proactively identify past-due accounts and escalate as appropriate.

Qualifications

Education & Experience

  • High school diploma or equivalent required.
  • Excellent written and verbal communication.
  • Exceptional attention to detail.
  • Ability to work independently and manage multiple priories under tight deadlines.
  • Previous experience in customer service, sales support, inside sales, order management, or administrative support preferred.
  • Experience in a manufacturing, industrial, distribution, or business-to-business (B2B) environment is a plus.

Knowledge, Skills & Abilities

  • Excellent verbal and written communication skills with strong phone etiquette.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Word.
  • Experience with ERP and CRM systems preferred; NetSuite experience is a plus.
  • Strong data entry and order processing skills.
  • Ability to work independently while also collaborating effectively with cross-functional teams.
