Job Summary
The Payroll Coordinator position is responsible for accurately calculating and processing employee payroll on a timely basis, maintaining employee payroll records, ensuring compliance with relevant tax laws, and addressing any payroll-related inquiries from employees, while collaborating closely with HR and Accounting departments to guarantee accurate payroll information. The Payroll Coordinator ensures compliance with court ordered garnishments, benefit deductions, and works closely with state agencies on proper State Unemployment Insurance (SUI) compliance. This position reports to Human Resources and has no direct reports.
Essential Job Responsibilities:
- Reliable attendance and punctuality
- Post accurate payrolls on a weekly basis, and process payroll by required deadlines.
- Process off-cycle payrolls to meet state Payday laws where applicable.
- Reconcile unemployment insurance, payroll taxes, benefits, and garnishments with our payroll vendor and/or accounting or human resources departments.
- Verify correct payments to employees, report any discrepancies or errors timely.
- Enter employee information into the payroll system with attention to detail and accuracy.
- Communicate effectively and professionally to ensure everyone understands vital information.
- Prepare reports and reconcile bank statements with accounting.
- Follow-up with employees and managers regarding payment differences.
- Verify employment as needed.
- Other duties as assigned by supervisor.
Key Performance Measurements:
- A score card that reflects performance in areas such as accuracy and completion of payroll previews.
- Management observation regarding attitude, diligence, team contributions, and willingness & ability to learn new skills and information.
- Other key performance measurements as determined by the direct supervisor.
- High School or GED Diploma required.
- Bachelor or associate degree in finance, accounting, or business administration preferred, or equivalent work experience.
- 5+ years processing payroll.
- Payroll Compliance Practitioner (PCP) certification a plus.
- Experience with Paylocity’s HRIS, preferred.
- Strong Excel skills; proficiency in Microsoft Office (Word and PowerPoint).
- Effective communication, problem solving, and analytical skills.
- Meticulous attention to detail and accuracy.
- Ability to organize work and work independently, with limited supervision.
- Ability to work with individuals from diverse backgrounds and with diverse needs, and across remote offices.
- Ability to clearly articulate ideas (both written and verbal) to both internal and external customers and to listen effectively to employee’s needs.
- Ability to develop and maintain strong workplace relationships with an emphasis on internal customer satisfaction.
- Ability to work collaboratively with other departments.
- Capable of identifying and completing critical tasks independently with a sense of urgency.
- Successfully pass a thorough background check and drug screening.
- Travel up to 5%, with overnight stays occasionally.
