About This Position
Essential Duties & Responsibilities
Enrollment & Registration Management
- Oversee and manage all district enrollment and registration processes.
- Support families through new student enrollment, re-enrollment, and required documentation.
- Coordinate lottery processes for enrollment (if applicable).
- Manage start- and end-of-year rollover tasks and ensure smooth transitions between school years.
- Work with registrars, counselors, and administrators to ensure accurate placement and scheduling of students.
PowerSchool / Student Information System (SIS) Management
- Maintain accurate student information in PowerSchool, including enrollments, withdrawals, demographics, schedules, grades, transcripts, attendance, and health/immunization records.
- Manage user accounts, permissions, and secure access to student information.
- Oversee the PowerSchool Parent/Student Portal including setup, access IDs, passwords, and portal support.
- Coordinate system updates, patches, and ongoing database maintenance.
Data Accuracy, Reporting & Compliance
- Ensure accurate input of attendance, grades, and state-required student codes (SPED, ESOL, EFA, etc.).
- Generate, validate, and submit state and federal compliance reports (e.g., 5th-day, 45th-day, 135th-day reports).
- Prepare reporting for administrators, auditors, and state agencies.
- Maintain historical records, cumulative files, and transcript data.
Training & User Support
- Train teachers, administrators, registrars, attendance clerks, and other staff on PowerSchool and enrollment procedures.
- Develop and maintain manuals, user guides, and FAQ resources.
- Provide troubleshooting and technical support for PowerSchool issues and related systems.
Communication & Collaboration
- Serve as liaison between district leadership, school staff, IT personnel, and families regarding enrollment and SIS needs.
- Communicate with parents regarding enrollment requirements, attendance, and PowerSchool portal support.
- Participate in district and state PowerSchool meetings, trainings, and webinars.
- Perform other duties assigned by the supervisor/administrator.
Requirements:Qualifications
- High school diploma or GED required; Associate’s or Bachelor’s degree preferred.
- Experience with PowerSchool or other student information systems preferred.
- Strong proficiency in Microsoft Office (Excel, Word, Access) and data-based systems.
- Exceptional attention to detail and organizational skills.
- Ability to maintain confidentiality and comply with FERPA guidelines.
- Strong communication, customer service, and interpersonal skills.
