This is a part-time, in-office position at our Fort Myers, FL office, requiring 24 hours per week, with a schedule of either Monday–Wednesday or Monday, Wednesday, and Friday.

About the Role:

The Part-Time Administrative Assistant provides administrative and clerical support to the accounting team, working closely with Staff Accountants on activities related to Accounts Payable and Accounts Receivable. This role assists with maintaining accurate financial records, preparing reports, and supporting daily accounting operations. The position offers an opportunity to gain practical experience in accounting-adjacent functions while contributing to the efficiency and accuracy of the department’s administrative processes.

Essential Duties and Responsibilities:

  • Perform administrative support tasks including data entry, document processing, and mail sorting and distribution.
  • Assist with organizing, maintaining, and filing financial records and documentation.
  • Prepare and update accounting-related spreadsheets and reports using Microsoft Excel.
  • Support Staff Accountants during month-end close activities, including gathering documentation and reconciling information as directed.
  • Maintain accurate records of financial and administrative documentation.
  • Provide general clerical and administrative support to the accounting department as needed.
  • Assist with other administrative tasks or special projects assigned by the accounting team.

Qualifications:

  • High school diploma or equivalent required
  • Basic understanding of accounting concepts and financial processes preferred.
  • Proficiency in Microsoft Office application, particularly Excel and Word.
  • Prior administrative or office support experience is a plus.

  • Strong attention to detail and commitment to accuracy.
  • Effective organizational and time management.
  • Ability to handle confidential financial information with discretion.
  • Ability to work independently while also collaborating with team members.
  • Clear written and verbal communication skills.
  • Ability to manage multiple tasks and meet deadlines in a structured office environment.
  • Demonstrated reliability and professionalism in completing assigned work.

Physical Requirements:

  • Must be able to remain in a stationary position (sitting or standing) for prolonged periods, often up to 75% of the workday.
  • Needs to occasionally move about inside the office to access file cabinets, office machinery, or shared workspaces.
  • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and printer.
  • Must be able to exchange accurate information with clients and co-workers in person, over the phone, and via digital platforms.
  • Occasionally moves or transports office supplies, files, or equipment weighing up to 25 pounds.
  • Occasionally positions self to maintain files in cabinets or access equipment stored in low or high areas.
  • Requires close visual acuity to perform activities such as preparing and analyzing data, transcribing, and viewing a computer monitor for extended periods.
