Job Title: Medical Records Coordinator- Hybrid
Reports to: FAA Compliance Department
Work Schedule: M-F, 8:00 AM to 5:00 PM, with overtime, as needed
Employment Classification: Hourly
Status: Full-Time
Position Summary
The Medical Records Coordinator is responsible for the processing and handling of all Medical Records requests under the direction of his/her manager(s) and/or Director(s); Respectfully interacts with all levels of staff; participates in department activities; promotes independence; adherence to the attendance policy; supports the company’s core values.
Summary of Duties and Responsibilities
· Maintains an understanding of medical records retention laws and regulations
· Manages and responds to ROI (release of information) requests for medical records
· Validates requests and authorizations for the release of medical information
· Gathers information from electronic charting and/or paper chart per request from patients, law offices, insurance companies, families, etc. and delivers the information accordingly
· Ensures that all medical records are protected and kept confidential, following all HIPAA regulations
· Completes clerical duties, including answering phones, responding to emails, scanning records as needed, etc.
· Identifies and reports wrong patient information in record to the Compliance department as soon as they are discovered
· Investigates and merges duplicate accounts
· Investigates reported deceased patients, marks patient as deceased and notifies DOR (Doctor of Record)
· Identifies potential audit requests from insurance companies and forward to appropriate personnel
· Prepares invoices for paid Medical Records requests if the patient has exceeded their 1 free copy in the year
· Maintains daily/monthly productivity reporting
· Assists Operations Manager with the management of paper charts from various acquisitions, including requesting the file from outside vendor, downloading and importing into EMR system
· Serves as a backup for adding providers into the EMR database for the Louisville Metro region
· Other duties, as assigned
Abilities, Knowledge and Skills
Effective communication skills to include:
1. Ability to fluently speak, read, and write in English.
2. Ability to read and interpret documents such as safety rules, handbooks, policies, and procedure manuals
3. Ability to communicate effectively, verbally and written, with all levels of staff and patients
4. Effective verbal and written communication skills.
Education, Prior Work Experience, Special Skill And Knowledge Requirements
· Ability to interact with patients directly and patiently
· Ability to work independently
· Strong computer skills
· Good analytical and planning skills to assess training needs and develop/adjust the training program as needed
· EMR experience required
· High school diploma or GED required
· Prior medical office experience, preferred
· Must be a quick learner, organized, and team oriented
· Excellent communication and customer service skills
· Previous customer service experience
