Washington, DC - Office Admin

The Spirit of the Position:

The Office Administrator is an enthusiastic and charismatic individual who greets each day and every person with a smile. S/he is the first point-of-contact for the company and, as such, sets the tone for an individuals experience at LAZ Parking as well as providing administrative support to the management team. Primary responsibilities include greeting and creating a welcoming atmosphere for our employees, customers and clients, proving excellent service, answering all inbound calls, helping to resolve inquiries and complaints in a positive manner, and handling the flow of in-person and phone inquiries efficiently while ensuring that all other front-desk responsibilities are completed accurately and in a timely manner.

Office Administrator is responsible for handing phone calls, monthly parkers and help desk requests during office hours of Monday through Friday. Proficiency in computers a must, Office system experience preferred.

Principal Job Duties:

- Answer telephone calls promptly and provide excellent customer service for clients, customers, employees, applicants, and managers.
- Greeting, welcoming and directing visitors appropriately
- Operating a multi-line phone system
- Scanning, faxing and filing
- Maintaining a clean and welcoming reception area
- Managing conference room schedules
- Maintain office supply inventories and process orders as needed.
- Ensure that the front desk is attended and phones are answered at all times during office hours.
- Open and distribute mail on a daily basis, including mail to and from the LAZ Home Office
- Assist managers with daily revenue reporting and bank deposits
- Assist with parking badges
- Process validation requests and ensure all are authorized by departments prior to printing and delivering.
- Manage the supply of office equipment, machines, or properties to the office.
- Manages and maintains the conference room schedule.
- Coordinates the repair and service of office equipment.
- Prepares correspondence, reports, memorandums, applications, certificates, permits, and other materials from copy, rough drafts, and other sources.
- Receives, distributes, and organizes incoming and outgoing correspondence and files.
- Establishes and maintains filing systems.
- Other related duties as assigned.

Education:

High school diploma or GED required.

Experience:

- 2+ years in an administrative support role is required.
- Data entry experience is preferred but not required.
- Strong customer service experience.
- Parking industry experience is preferred but not required.

Skills:

- Ability to communicate professionally and effectively.
- Ability to speak, read, and comprehend the English language.
- Must be open to feedback, differing opinions and other points of view.
- Demonstrates a sense of urgency and timeliness.
- Demonstrate the ability to seek improvement.
- Excellent team-building and interpersonal skills.
- Knowledge of Excel, Word, Power Point and General Microsoft Office Applications

Physical Demands:

Ability to lift, push and pull at least 10 pounds.

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files and file boxes, open filing cabinets, and bend or stand as necessary.
