Job Summary:

The Mailing Quality Control Specialist is responsible for inspecting and verifying the quality of outgoing mail within the organization, ensuring accuracy in addressing, postage, and compliance with postal regulations by performing thorough checks on mail pieces before they are sent out, identifying and correcting any errors to maintain high standards of mail delivery.

Duties / Responsibilities:

• Ensuring accuracy: Working with departments to ensure data is consistently accurate and meets regulatory requirements.

• Mail Inspection: Carefully review each mail piece to verify correct information and attachments are included

• Postage Verification: Check that the appropriate postage is applied based on the weight and destination of the mail.

• Data Validation: Comparing mail information to internal databases or mailing lists to identify potential discrepancies.

• Format Compliance: Ensuring mail pieces adhere to postal regulations regarding size, weight, and presentation.

• Error Reporting: Documenting any errors found during the inspection, such as incorrect addresses, missing information, or damaged mail, and reporting them to relevant departments for correction

• Maintaining consistency: Supervising and implementing processes to guarantee the consistency of the data used by the company.

• Compliance Monitoring: Maintain updates on postal regulations and ensure the mailroom operations comply with all relevant guidelines

• Mailing Quality Checks: Inspect upgrade mailing and ensure all labels are correct and separated by CSA.

• Assign each mailing to the correct container to ensure proper handling and delivery.

• CSA Pallet Verification: Check CSA pallets to ensure that all labels match the corresponding CSA

• Verify pallets card and assign to pallets to match locations as shown on the CSA breakdown.

• CSA Pallet Counts: Count and log all pallets assigned to various CSAs

• Report log sheet to floor supervisor for approval

• Other duties as assigned.

Requirements:

Required Skills and Competencies:

• Postal Regulations knowledge.

• Data entry skills

• Communication skills

• Excellent organizational and multitasking abilities.

• Exceptional attention to detail and accuracy.

Education and Experience:

• High school diploma or equivalent: additional education or certification in mail handling or logistics is preferred.

• Proven experience in mail processing.

• Proven experience in fast-paced, multi-facility, quality control and database coordination.

Physical Requirements and Working Conditions:

• Lifting requirements of 35 lbs.

• Prolonged periods of standing at workstation.

• Extended periods of focused reading of mail pieces and labels.

• Must be able to continuously stand, walk, reach, extend, bend, stoop, and squat throughout the shift.

• Will be exposed to a loud noise environment.

• May be exposed to dust.

• Extended work shifts may be required due to business needs and the flexibility to work overtime and weekends are required.
