Description:

Overview:

This full-time non-exempt position works proactively, creating and administering programs and activities that promote enrollment and provides assistance to the nursing program. The Admissions and Advising Coordinator provides guidance to potential and current students, assists students in identifying resources, coordinates administrative assistant duties at Sedalia and extended campuses, and assists with administrative support for the Nursing Programs. This position will be based at the Sedalia campus.

The Admissions and Advising Coordinator shall:

  1. Be able to work in an office setting that requires frequent sitting, standing, and occasionally, stooping.
  2. Be able to multitask in a fast paced and noisy environment with diverse customers.
  3. Efficiently work as a team member with faculty and staff.
  4. Learn and use technology for student tracking, enrollment & registration and guide students through various self-service programs such as MySFCC.
  5. Create a student-centered environment
  6. Seek and maintain notary certification
  7. Be able to articulate the mission and core values of the nursing program and SFCC.

Employee work expectations follow the Classified Staff work expectations as a non-exempt employee.

Essential Duties:

  1. Assist students in obtaining accurate information about educational and career options, academic requirements, policies and procedures.
  2. Assist with the preparation and presentation of information promoting nursing enrollment.
  3. Assist with recruitment, retention, and placement of potential and current students, specifically, but not limited to, phone, email, and in-person contact with students.
  4. Maintain a computerized student and prospect database to be accessible to others who advise students.
  5. Coordinates admission and selection processes, including the admission committee meeting actions.
  6. Assist with planning and delivery of new student orientation every semester.
  7. Plan and coordinate work for other nursing administrative assistants including those at extended campus sites.
  8. Assist with ensuring all course and clinical documentation required by accrediting body, institution, and clinical sites and department are submitted by faculty (syllabi, student course evaluations, matrices, immunizations, etc.).
  9. Ensures appropriate student transcripts are compiled for graduates and maintained for applicants.
  10. Maintain information files in accordance with Missouri State Board of Nursing standards.
  11. Initiate new cooperative agreements as requested and complete annual renewals.
  12. Ensures drug testing dates are set and student compliance. Communicates issues with directors.
  13. Submit required documentation to clinical sites for clinical rotation clearance.
  14. Coordinate completion of regulatory requirements (NCLEX applications, Pearson registration etc.)
  15. Serve as front line reception and answer telephones, route calls, make appointments, greet customers, and answer information requests from walk-in traffic and e-mail correspondence.
  16. Complete data entry requests, submit requisition orders, process written correspondence, maintain reports, and files.
  17. Submit student fee charges to business office.
  18. Maintain office related inventory.
  19. Collect, sort and distribute office mail.
  20. Assist with scheduling classrooms for department related activities.
  21. Follow up on classroom and office technology issues.
  22. Coordinate department events in collaboration with directors.
  23. Create new processes and resources as determined by student needs in collaboration with Directors and Nursing Coordinators.
  24. Coordinate activity and workflow within the work environment to maximize efficiency.
  25. Provide assistance, in collaboration with the directors, to faculty, coordinators, as needed to achieve the program mission/goals.
  26. Maintain confidentiality in all aspects of student, staff, and organization information.
  27. Serve on campus, department and community councils/committees as requested by the Director or other members of the Executive Leadership Team
  28. Participate in nursing advisory committees and nursing student success team.
  29. Attend all college, division and department meetings.
  30. Meet SFCC expectations of in-service attendance.
  31. Attend SFCC Health Science pinning and graduation ceremonies.
  32. Completes other duties as assigned

Qualifications:

Education:

Associate degree required. Bachelor’s degree in related area preferred.

Skills:

Shall possess strong computer skills and can proficiently operate office equipment such as scanner, fax, copier, and telephone. Can manage Excel spreadsheets and input data. Occasional need to lift objects (up to 10 pounds) and perform other similar actions during the course of the workday. Experience:

Shall have one year or more experience in related field, preferred, but not required.
