Assistant Medical Coordinator Job Description
PRE-EMPLOYMENT QUALIFICATIONS:
· Required to drive and meet state requirements for transporting Individuals
· Satisfactory criminal background checks (BCI & FBI)
· High school diploma or equivalent/ higher education recommended
· Minimum of 1year experience working with Individuals with Developmental Dis-abilities Managing, and/ or Office Administrator or Receptionist
· Strong communication skills and the ability to work in a stressful environment while maintaining a positive attitude
· Must be able to multi-task and the need for strong computer skills is essential
· Professional demeanor is a must
Responsibilities
The Assistant Medical Coordinator is responsible for assisting the Medical Coordinator in overseeing and coordinating healthcare services for individuals with developmental disabilities. This role provides support to both Residential and ADS in ensuring all medical needs are met in compliance with regulatory standards, promote optimal health outcomes, and support interdisciplinary care planning.
Assistant Medical Coordinator primary responsibilities include but not limited to:
· Coordinate medical care at the direction of the Medical Coordinator for individuals, including scheduling appointments and follow-up
· Assist in monitoring chronic health conditions and ensure continuity of care
· Review and track medical orders and recommendations
· Assisting with the medication check-in process and medication delivery
· Taking clients to routine appointments such as labs, podiatry, counseling and primary care.
· Occasional acute/urgent care visits, specialist and/or procedure when acute needs or scheduling conflicts arise
· Updating residential coordinators as needed after medical appointments for any concerns/medical changes
· Routine documentation and medication checks within the homes
· Delivering prescription order update forms/making proper MAR corrections as needed
· Updating residential medical binders as needed
· Assisting with pharmacy refill requests
· Scanning documentation for record keeping
Documentation & Compliance
• Maintain accurate, up-to-date medical records in accordance with Ohio Department of Developmental Disabilities (or applicable state regulations)
• Ensure compliance with all state, federal, and agency policies (e.g., HIPAA)
• Audit medical documentation for accuracy and completeness
• Assist with incident reporting related to medical concerns
Medication Management
• Oversee medication administration processes
• Ensure proper storage, documentation, and disposal of medications
• Monitor for side effects and medication effectiveness
Care Planning & Team Collaboration
• Provide input on health-related goals and supports
• Collaborate with nurses, direct support professionals (DSPs), and case managers
• Advocate for individuals’ healthcare needs
QUALIFICATIONS
Education & Experience
• High School Diploma
• Minimum of 2–3 years of experience in healthcare or developmental disabilities services
Skills & Competencies
• Strong knowledge of developmental disabilities and related health conditions
• Excellent organizational and documentation skills
• Manage time effectively
• Strong communication and interpersonal skills
• Knowledge of medication administration and healthcare compliance standards
Working Conditions
• May require travel between multiple service sites
• On-call or flexible hours may be required
• Exposure to medical environments and individuals with complex health needs
Physical Requirements
• Ability to assist with mobility or positioning if needed
• Ability to respond quickly in emergency situations
• Frequent standing, walking, and light/moderate lifting of at least 50 lb’s or more

FLSA Status: (Non-Exempt/Hourly
Requirements:- CPR/First Aid Certification
- Medication Administration Certification
- Must successfully pass background check
- Valid Driver's License and Auto Insurance
