SUMMARY:
The Administration Operations Lead serves as a key administrative and operational support to the Township Supervisor, responsible for coordinating a broad range of projects, initiatives, and day-to-day operations. This position interacts with Township residents, staff, consultants, engineers, and government agencies, requiring a high level of professionalism, discretion, and interpersonal skills.
The ideal candidate will be highly organized, technically minded, and capable of managing multiple priorities. This position requires initiative, follow-through, and the ability to collaborate with multi-disciplinary teams to move projects forward efficiently and effectively.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Responsible for executing assignments and directives as issued by the Township Board of Trustees.
- Assist the Supervisor in the management of municipal operations.
- Coordinate and support internal and external projects as assigned by the Township Supervisor.
- Manage daily correspondence and communications related to Township operations.
- Develop project timelines, budgets, and reports; track progress and ensure timely completion.
- Collaborate with internal and external individuals, teams, and organizations including, but not limited to, finance, assessing, planning, zoning, legal, engineering, and County/State departments.
- Ensure compliance with Township ordinances and applicable laws when interacting with stakeholders.
- Responsible for the day-to-day operation of the Planning and Zoning Department including, but not limited to: Creating and publishing the meeting minutes of the Planning Commission and Zoning Board of Appeals; maintaining the files of the PC and ZBA; and preparation and distribution of public hearing notices.
- Maintain a working knowledge of Township ordinance to assist the public, contractors, and engineers. Assist in the enforcement of Township ordinances. Oversee codification and maintenance of ordinances.
- Provide continuity of Planning and Zoning projects from submission, to review, to Planning Commission, to Board of Trustees, to implementation.
- Assist in preparing Township Board agendas, preparing reports, and presenting to the Township Board as requested.
- Represent the Township in meetings and public engagements as directed. May be assigned to be the Supervisor’s designee on external committees or boards.
- Attend Board of Trustees, Planning Commission, and Zoning Board of Appeals meetings as needed.
- Serve as a Passport Agent.
- Other duties as assigned.

REQUIRED SKILLS / ABILITIES:

- Capacity to multi-task and prioritize competing deadlines.
- Familiarity with state, federal, and private grant opportunities is a plus.
- Proficient in Microsoft Office Suite and Adobe.
- Willingness to attend trainings, seminars, and professional development opportunities.
MINIMUM QUALIFICATIONS:
Education: | Bachelor’s degree in Public Administration, Business, Finance, Engineering, or a related field; or equivalent work experience in a comparable role. |
Experience: | Prior experience in project management and administrative support is required. |

WORKING CONDITIONS:
- Primarily an office environment, with occasional visits to outdoor project sites.
PHYSICAL REQUIREMENTS:
- Ability to communicate effectively via phone, email, and in person.
- Ability to sit for extended periods and move around project sites as necessary.
- Ability to read, write, and perform basic math functions.
- Occasional lifting (up to 25 lbs), bending, stooping, or kneeling may be required.
TRAVEL REQUIREMENTS:
- Occasional local travel during the workday; minimal overnight travel unless attending conferences or trainings.
