If you’re a highly organized, detail-oriented professional who thrives in a fast-paced aviation environment, The Blackhawk Group is seeking a Flight Operations & Compliance Administrator to join our team in Broomfield, CO.

This critical role supports our Flight Operations department with a strong focus on pilot scheduling, coordination, and compliance oversight. You will play a key role in ensuring all flight assignments are properly staffed, operationally ready, and executed efficiently—while maintaining accurate documentation and adherence to FAA and company requirements.

What You’ll Do

🗓️ Pilot Scheduling & Coordination

  • Maintain and manage the contract pilot roster, including availability, qualifications, and currency
  • Match pilots to flight assignments based on aircraft type, mission requirements, and availability
  • Issue work orders and coordinate trip assignments accurately and on time
  • Monitor and resolve scheduling conflicts and coverage gaps
  • Adjust schedules proactively based on operational changes, delays, or new requests
  • Ensure all assignments meet compliance, insurance, and operational requirements prior to dispatch

📂 Documentation, Records & Systems

  • Maintain accurate records of pilot qualifications, certifications, and currency
  • Organize and manage flight operations documentation, including work orders and trip records
  • File and maintain post-flight documentation and operational records

✅ Quality & Compliance Support

  • Review and validate maintenance work orders for completeness and accuracy
  • Organize and standardize maintenance documentation for audit readiness
  • Support the creation of compliant aircraft logbook entries
  • Track inspections, Airworthiness Directives, and required compliance items
  • Ensure all records meet FAA and company standards

🌍 Trip Logistics & Operational Planning

  • Prepare and distribute detailed trip packages (aircraft, passenger, routing details)
  • Coordinate FBO services, fuel, transportation, and lodging
  • Monitor weather, NOTAMs, and TFRs and communicate operational impacts
  • Support aircraft repositioning, delivery flights, and ferry coordination

🤝 Communication & Coordination

  • Serve as the primary point of contact for contract pilots
  • Coordinate with Maintenance, Sales, and leadership teams
  • Provide timely updates on schedules, trip status, and operational changes

🧩 Administrative & Operational Support

  • Provide administrative support to the Director of Flight Operations
  • Support continuous improvement initiatives for scheduling and operational efficiency
  • Perform additional duties as assigned

What You Bring to the Table

Required Qualifications and Skills:

  • High school diploma or equivalent
  • Minimum of 2 years of administrative, coordination, or operations support experience
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced, time-sensitive environment
  • Excellent communication and coordination skills
  • Proficiency in Microsoft Office (Excel, Outlook, Word)
  • Ability to work independently and collaboratively

Preferred Qualifications:

  • Degree in aviation, business, or related field
  • Experience in aviation, flight operations, dispatch, or general aviation
  • Familiarity with flight planning or dispatch tools
  • Basic understanding of FAA regulations and aviation operations
