Job Overview:

The Secretary for the Mammography/Breast Center provides essential clerical, scheduling, and patient support services to ensure efficient daily operations and an exceptional patient experience.

Qualifications:

Required:

  • High school graduate or equivalent
  • Minimum one-year prior radiology/medical experience in health care facility

Preferred:

  • Associate degree
  • Prior experience in hospital scheduling, radiology, or interventional procedures
  • Knowledge of medical terminology and imaging workflows,
  • Proficiency with EMR, PACS, scheduling systems, and Microsoft Office

Scheduling Requirements:

  • Full Time Day
  • Monday - Friday
  • 8am - 4:30pm

Essential Functions:

  • Serves as a key liaison between the Breast Center, radiologists, technologists, physician offices, and outside facilities
  • Manages appointment scheduling, registration, order entry, document processing, and communication with patients, providers, and clinical staff
  • Schedules mammography, breast imaging, DEXA, stereotactic, and related procedures according to departmental protocols
  • Manages EPIC work queues and ensure all required authorizations are obtained prior to scheduling
  • Verifies patient demographics, insurance, and clinical requirements
  • Coordinates with radiologists, technologists, nurses, and physician offices to ensure appropriate staffing and room availability
  • Adjusts schedules for add ons, cancellations, urgent cases, and operational needs
  • Schedules follow up screening mammograms and maintain BIRADS 0 and related work queues
  • Contacts patients to confirm appointments, provide preparation instructions, and answer questions
  • Completes patient registration for all Breast Center services,
  • Enters orders, prepare documentation, and scan all required paperwork for screening, diagnostic, DEXA, and stereotactic procedures,
  • Faxes and distribute reports to ordering providers,
  • Retrieves, filse, and manages film jackets; coordinate prior imaging and reports with outside facilities; print CDs as needed,
  • Maintains accurate records of scheduled procedures, cancellations, and reschedules,
  • Supports billing and insurance verification through accurate documentation
  • Educates patients and physician offices on procedure preparation and required documentation,
  • Notifies ordering providers of missing or incomplete orders and ensure timely entry into EPIC
