Position Statement

The Medical Staff Coordinator supports the organization’s medical staff functions, including credentialing, privileging, and reappointment processes, ensuring compliance with CMS regulations, DNV-GL standards, and Medical Staff Bylaws, Rules, and Regulations. This position serves as a key liaison between hospital administration and the Medical Staff, providing administrative support to the monthly Credentials Committee and Medical Staff meetings and other assigned committees. The Medical Staff Coordinator ensures accuracy and integrity of provider data, maintains credentialing systems, and contributes to organizational regulatory readiness. This position also provides additional Quality Department Team duties, including providing support for NCH’s Policy Manager and monitoring organization-wide completion of tasks in NCH’s Strategic Quality Support System.

Key Responsibilities:

Credentialing and Privileging

  • Manage all aspects of the credentialing and recredentialing processes for the Medical and Advanced Professional Staff in accordance with hospital policy, Medical Staff Bylaws, and accreditation requirements.
  • Reviews and verifies provider credentials, education, licensure, certifications, malpractice coverage, and work history to ensure completeness and compliance with standards.
  • Maintains the accuracy of practitioner information in credentialing software (e.g., MD Staff).
  • Prepares credentials files and reports for presentation to the Credentials and Medical Executive Committees.
  • Tracks expiring documents, licenses, and certifications, ensuring timely renewals.
  • Coordinates initial and ongoing privilege delineation, working closely with department chairs and leadership.

Committee Support

  • Provides administrative support to the monthly Credentials Committee, Medical Staff meeting, and other assigned Medical Staff committees, including agenda preparation, minute taking, and follow-up on action items.
  • Ensures all committee documentation complies with organizational policy and confidentiality standards.
  • Communicates credentialing and privileging decisions to appropriate departments.

Medical Staff Operations

  • Maintains current and accurate Medical Staff rosters, contact lists, and provider profiles.
  • Assists with new provider orientation and onboarding activities.
  • Serves as a resource to providers and leadership regarding credentialing, bylaws, and regulatory requirements.

Regulatory and Quality Compliance

  • Ensures compliance with CMS, DNV-GL, and state licensing requirements related to Medical Staff services.
  • Participates in surveys and audits involving credentialing, privileging, and Medical Staff processes.
  • Collaborate with Quality and Risk Management teams to support organizational performance improvement initiatives as related to provider practice and peer review.

Data Management and Communication

  • Maintains accurate and confidential credentialing and peer review records.
  • Prepares reports and metrics related to Medical Staff credentialing and performance for leadership and regulatory review.
  • Utilizes electronic systems effectively to support data integrity and timely reporting.

Additional Quality Department Team duties:

Policy Manager:

  • Assists Leadership with uploading new documents, revising and archiving documents no longer utilized. Assists in overseeing the document control process. Educates new staff on Policy Manager use.

Monitoring organization-wide completion of tasks in NCH’s Strategic Quality Support System:

  • Assists Leadership in creating new tasks and revising established tasks as appropriate. Examples include quarterly validate Physical Environment Inspection survey and Crash cart checks

Knowledge, Skills and Abilities

  • Associate’s degree or equivalent; bachelor’s degree preferred.
  • Two years of experience in Medical Staff Services, Credentialing, or related healthcare administrative role is preferred. Will consider training applicants without this minimum requirement
  • Certified Provider Credentialing Specialist (CPCS) or Certified Professional Medical Staff Management (CPMSM) preferred or is expected within four years of hire.
  • Strong organizational skills with the ability to manage multiple projects and deadlines in a positive and proactive way.
  • Excellent written and verbal communication skills. Demonstrates the ability to solve problems in a diplomatic and professional manner.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and credentialing software (e.g., MD Staff).
  • Ability to maintain confidentiality and work collaboratively with providers, leadership, and staff at all levels within the organization.
