Job Title: Medical Records Specialist
Location: Wake Radiology
Schedule: Full Time Monday – Friday 8:30am to 5pm (this is NOT a remote position)

Job Summary
The Medical Records Specialist is responsible for managing patient health records in accordance with HIPAA and Wake Radiology policies. This position ensures timely and accurate handling of requests for medical information and supports the clinical and administrative teams by maintaining organized, confidential patient documentation.
Key Responsibilities
  • Process incoming and outgoing requests for patient medical records, including imaging studies and reports.
  • Ensure all record requests meet HIPAA privacy guidelines and Wake Radiology’s release-of-information procedures.
  • Verify patient identity and authorization documentation before releasing information.
  • Upload, scan, and index documents into the electronic health record (EHR) system.
  • Collaborate with referring providers, patients, legal entities, and internal staff to fulfill record requests efficiently.
  • Monitor record retention schedules and participate in routine audits.
  • Maintain confidentiality and protect the integrity of patient data at all times.
  • Support front office and clinical teams with additional administrative duties as needed.
Qualifications
  • High school diploma or equivalent required.
  • Previous experience in the handling of patient health information, medical records document imaging and/or medical records is strongly preferred.
  • Working knowledge of HIPAA regulations.
  • Familiarity with EHR and document management systems (e.g., Powershare and EPIC) a plus.
  • Strong attention to detail and organizational skills.
  • Excellent communication and customer service abilities.
  • Ability to prioritize tasks and work in a fast-paced environment.
