Job Description
We are currently seeking a Receptionist to join our team. Someone who is customer-focused, detail-oriented, and thrives in a fast-paced environment.
Role Summary:
The Receptionist plays a key role in creating a positive first impression for customers and visitors. This position manages the front desk, answers phones, supports customer interactions, and assists with general administrative tasks in a fast-paced automotive environment. The ideal candidate is professional, courteous, and able to handle multiple priorities while supporting dealership operations.
Key Responsibilities:
- Greet and welcome customers, clients, vendors, and staff in a professional and friendly manner.
- Answer, screen, and route incoming phone calls and emails promptly and courteously.
- Direct customers to the appropriate departments (Sales, Service, Parts, or Finance) and ensure they are attended to promptly.
- Assist with administrative tasks such as filing, data entry, document preparation, and scanning contracts or work orders.
- Receive and process incoming and outgoing mail, packages, and deliveries.
- Maintain an organized and professional reception area that reflects the dealership’s brand.
- Assist Sales, Service, and Parts departments as needed with administrative support or customer follow-up.
- Maintain confidentiality of customer, employee, and dealership information.
- Monitor and manage customer waiting areas, including refreshments and communication updates.
Qualifications & Requirements:
- High school diploma or equivalent required; post-secondary education an asset.
- Previous experience in a receptionist, administrative, or customer service role, preferably in a dealership or retail environment.
- Proficiency with Microsoft Office Suite and dealership management software (DMS) an asset.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Professional appearance and demeanor suitable for customer-facing role.
- Ability to work in a fast-paced, dynamic environment while maintaining attention to detail.
