Project Coordinator EMEA, Production

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Project Coordinator EMEA, Production based in Spain.

This is an operational coordination role at the heart of a fast-paced, multilingual production environment supporting global delivery across time zones. In this position, you will ensure seamless execution of production workflows by coordinating linguist assignments, managing timelines, and supporting the delivery of high-quality translation projects. You will act as a key operational link between internal production teams and external linguists, ensuring that work progresses efficiently, deadlines are met, and potential risks are proactively addressed. The role requires strong organizational discipline, attention to detail, and the ability to manage multiple moving parts in a structured and deadline-driven environment. You will contribute directly to the reliability and scalability of global production operations. The position is fully remote and designed for professionals who thrive in structured coordination roles within international, tech-enabled workflows.

Accountabilities
  • Coordinate the assignment of linguists to translation projects using internal production platforms, ensuring optimal allocation based on availability and project requirements.
  • Set, monitor, and manage project deadlines in alignment with customer SLAs and internal delivery standards.
  • Track assignment status, including acceptance, rejection, and progress updates from linguists, ensuring full visibility across workflows.
  • Communicate with linguists to confirm project status, identify risks, and resolve issues that may impact timely delivery.
  • Manage incoming queries from linguists, ensuring proper logging, categorization, and timely responses within production timelines.
  • Reassign projects to alternative linguists when needed to mitigate delays, capacity issues, or quality concerns.
  • Maintain accurate data entry and administrative records related to linguist performance, availability, and payment processes.
  • Send, receive, and track translation quality feedback, including revision reports, and ensure follow-up actions are completed.
  • Monitor QA status within production systems and follow up on incomplete or non-compliant quality checks.
  • Escalate production risks, blockers, and operational issues to the Production Manager or Lead in a timely and structured manner.
  • Ensure all system administration and workflow processes are executed accurately and in line with established production protocols.
Requirements
  • Bachelor’s degree or equivalent academic qualification.
  • Professional proficiency in English, both written and spoken.
  • Prior experience in translation, localization, linguistic services, or project coordination within a production or operations environment.
  • Strong organizational and multitasking abilities with a high level of attention to detail.
  • Ability to manage deadlines effectively and perform under pressure in a fast-paced environment.
  • Excellent communication skills for coordinating with internal teams and external linguists across different time zones.
  • Familiarity with production workflows, localization tools, or language technology platforms is an advantage.
  • At least 1 year of experience in project management, coordination, or a similar operational role is preferred.
  • Strong problem-solving mindset with the ability to escalate issues appropriately and maintain workflow continuity.
