Job Summary:
The Patient Services: Front Desk position is responsible for greeting patients, managing check-ins, check-outs and appointments, handling calls and correspondence, and verifying insurance and other important information. They will maintain accurate records, coordinates communication between patients and clinical staff, and ensure a welcoming, organized, and efficient front office environment.
Key Responsibilities
- Greet patients and visitors in a professional, friendly, and compassionate manner
- Check patients in and out, verify demographic and insurance information, and collect copays or balances
- Assist patients in setting up payment plans
- Schedule, confirm, and reschedule appointments using the practice management system
- Answer multi-line phones, route calls appropriately, and respond to patient inquiries
- Maintain accurate patient records in compliance with HIPAA regulations
- Process referrals, prior authorizations, and basic insurance verification as needed
- Coordinate communication between patients, providers, and clinical staff
- Manage front desk workflow, including waitlists and patient flow
- Handle incoming and outgoing mail, faxes, and electronic correspondence
- Maintain a clean, organized, and welcoming front office environment
- Assist with administrative tasks such as filing, scanning, and data entry
- Perform basic insurance verification

Education & Experience
- High school diploma or equivalent required; associate degree preferred
- Previous experience in a medical office or healthcare setting strongly preferred
- Knowledge of medical terminology and insurance processes is a plus
- Proficiency with electronic health records (EHR) and office software (e.g., Microsoft Office)
- Ability to handle sensitive information with discretion and professionalism
Working & Environmental Conditions:
- Primarily in an indoor clinical/office setting with moderate noise levels. Occasional lifting of 25 pounds is required. Schedule flexibility is required Monday-Saturday between 730AM and 630PM. The role may require prolonged periods of standing and frequent use of computer equipment. This role requires in person attendance.
