Job Description
The Project Administrator supports the successful execution of construction projects by providing administrative, document control, and coordination support to project management teams. This role is critical to keeping projects organized, compliant, and moving efficiently from preconstruction through closeout.
Key Responsibilities
• Provide day-to-day administrative support to Project Managers and field teams
• Assist with project documentation, including submittals, RFIs, meeting minutes, and change orders
• Maintain organized electronic and hard-copy project files in accordance with company standards
• Track and log project correspondence and ensure timely distribution to relevant parties
• Support contract administration, including vendor onboarding and compliance documentation
• Assist with invoice processing, purchase orders, and cost tracking
• Coordinate project meetings, prepare agendas, and distribute meeting minutes
• Monitor schedules, deliverables, and deadlines to support project milestones
• Communicate professionally with owners, subcontractors, vendors, and internal teams
• Assist with project closeout documentation, warranties, and as-built records
Qualifications
• High school diploma required; Associate’s or Bachelor’s degree preferred
• 2+ years of administrative experience, preferably in construction or a related industry
• Strong organizational skills and attention to detail
• Ability to manage multiple tasks and deadlines in a fast-paced environment
• Proficiency in Microsoft Office (Word, Excel, Outlook); experience with construction software (Procore, Bluebeam, etc.) a plus
• Excellent written and verbal communication skills
• Self-motivated with a team-oriented mindset
Skills & Competencies
• Strong time management and prioritization skills
• Professional communication and customer service abilities
• Understanding of construction terminology and project workflows (preferred)
• Ability to work collaboratively with project teams and field personnel
