Position Overview
We’re looking for a Project Manager, Existing Buildings, to join our Existing Buildings team. In this role, you will manage the full lifecycle of building compliance and municipal approval projects, serving as the primary point of contact for clients and internal teams. You will oversee filings, approvals, close-out processes, and ongoing project tracking while ensuring accuracy, timeliness, and compliance with all applicable regulations. You will work closely with Assistant Project Managers, Directors, and cross-functional teams to coordinate deliverables, resolve issues, and ensure projects move efficiently from filing through final sign-off or certificate of occupancy.
What You’ll Do
- Serve as the primary point of contact for clients, providing updates on filings, approvals, permits, inspections, and municipal status.
- Review and analyze architectural and engineering plans to determine permit and approval requirements.
- Manage the full project lifecycle from filing through close-out, including tracking approvals, permits, and sign-offs.
- Coordinate with internal teams and APMs to ensure timely completion of project deliverables.
- Review and ensure accuracy of all documents submitted to municipal agencies.
- Monitor client requests and prepare revised proposals or additional scope of documentation as needed.
- Initiate, track, and follow up on RFIs and other municipal inquiries through completion.
- Maintain accurate project records and updates within internal systems (e.g., Kintone, zoning/project tracking tools).
- Generate status reports, meeting notes, and project documentation for internal and external stakeholders.
- Track all project milestones and ensure alignment with client timelines and expectations.
- Collaborate with leadership to escalate and resolve project issues as they arise.
What You’ll Bring
Required:
- Bachelor’s degree and 3–5 years of relevant experience in project management, architecture, construction, permitting, or municipal compliance.
- Strong understanding of architectural drawings and construction documentation.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and Adobe Acrobat.
- Ability to interpret and navigate municipal agency portals and regulatory processes.
- Ability to work independently while collaborating effectively across teams.
Preferred:
- Experience in existing buildings, zoning, or municipal permitting processes.
- Familiarity with DOB filings, compliance workflows, and close-out procedures.
- Experience using project tracking or CRM systems (e.g., Kintone or similar platforms).
Work Environment & Schedule
- This position is based in New York, NY, with a hybrid schedule.
- Standard working hours are Monday through Friday, 8:30 a.m. to 5:00 p.m.
- Travel may be required for client meetings or municipal agency visits as needed.
Compensation & Benefits
- Salary range: $75,000–$90,000, based on knowledge, skills, and experience.
