Position Summary
The Staffing Coordinator is responsible for coordinating patient visits, maintaining staff schedules, and supporting communication between office and field staff to ensure timely and efficient service delivery. This role manages scheduling functions, staffing adjustments, and coordination of patient services in accordance with agency policies and operational needs.
The Staffing Coordinator supports continuity of care by helping ensure appropriate staff coverage, accurate scheduling records, and effective communication across departments.
Reporting Structure
This position reports to the Clinical Manager, Director of Nursing (DON), Administrator, or designated leadership responsible for scheduling and operations. The Staffing Coordinator works closely with clinical, administrative, and field staff to support daily agency operations.
Scope of Practice
This role is administrative and operational in nature and does not provide direct patient care. The Staffing Coordinator is responsible for scheduling, coordination, and communication functions only and does not perform clinical assessments, make clinical decisions, or provide skilled services.
What You’ll Do
1. Scheduling & Staffing Coordination
- Maintain current patient schedules and staffing assignments
- Coordinate patient visits and clinician schedules to ensure timely service delivery
- Prepare and update weekly schedules for field staff
- Communicate scheduling changes promptly and accurately to office and field staff
- Assist with coverage planning for call-outs, schedule adjustments, and staffing needs
2. Patient Roster & Service Coordination
- Maintain accurate patient rosters and scheduling records
- Update scheduling logs, visit tracking tools, and coordination records
- Assist in coordinating services provided to patients across disciplines
- Support continuity of care by ensuring visit schedules align with patient needs and care plans
3. Communication & Operational Support
- Serve as a communication link between office staff, field clinicians, and leadership regarding scheduling needs
- Coordinate updates related to visit changes, admissions, recertifications, and discharges as applicable
- Support intake and clinical teams with scheduling-related workflow needs
4. Documentation & Compliance
- Maintain accurate scheduling documentation and operational records
- Follow agency policies related to scheduling, confidentiality, and compliance
- Support readiness for internal audits and operational reviews related to scheduling functions
5. Team Collaboration
- Work closely with nurses, therapists, intake, billing, and administrative teams to support agency operations
- Participate in staff meetings, training sessions, and required in-services
- Promote a culture of accountability, teamwork, and efficient patient service delivery
Qualifications
- Minimum of 1–2 years of scheduling, staffing coordination, healthcare administration, or related experience preferred
- Home health, hospice, or healthcare office experience preferred
- Experience with EMR systems such as Axxess,WellSky(Kinnser), or similar preferred
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Ability to pass background screening and all compliance requirements
