Description

Position Summary
The Surgical Scheduler serves as the central communication and coordination hub for perioperative scheduling operations. This role is responsible for the accurate scheduling and posting of surgical and procedural cases while maintaining continuous communication between physician office staff, anesthesia providers, operating room personnel, and other ancillary departments. The Scheduling Coordinator works collaboratively with the Team Coordinator, Nurse Manager, Director, and multidisciplinary perioperative team to optimize operating room utilization, support efficient patient throughput, and ensure the availability of required resources for scheduled procedures.

The incumbent prepares, updates, and distributes the daily operating room schedule, proactively addressing scheduling conflicts, block utilization, and operational changes to maximize efficiency and minimize delays. This position requires a high degree of organization, attention to detail, and the ability to function effectively in a dynamic, fast-paced healthcare environment.

Essential Duties and Responsibilities
  • Coordinates and manages the daily operating room schedule to facilitate efficient use of surgical suites, personnel, and resources while supporting patient safety and throughput objectives.

  • Accurately posts and schedules surgical and procedural cases in accordance with physician block schedules, departmental policies, and established scheduling guidelines.

  • Serves as the primary communication liaison between physician office personnel, anesthesia providers, operating room staff, sterile processing, and ancillary departments regarding schedule changes, add-on cases, cancellations, and urgent/emergent procedures.

  • Collaborates with the Team Coordinator, Nurse Manager, and Director to resolve scheduling conflicts, optimize block utilization, and support strategic allocation of operating room time.

  • Prepares, verifies, and distributes the daily operating room schedule and communicates updates to physician offices and all affected clinical and support departments throughout the health system.

  • Assists with the day-to-day operational management of the surgery schedule, ensuring the accuracy and completeness of case information, including procedure details, surgeon preferences, equipment needs, and special resource requirements.

  • Maintains and updates electronic scheduling systems while proficiently utilizing computers, telephones, intercom systems, fax machines, and other communication technologies necessary for effective departmental operations.

  • Monitors schedule changes throughout the day and promptly communicates modifications to all impacted team members to ensure operational continuity and minimize disruptions.

  • Supports compliance with departmental, organizational, and regulatory standards by maintaining accurate scheduling documentation and adhering to applicable policies and procedures.

  • Demonstrates flexibility and responsiveness in managing competing priorities, urgent requests, and rapidly changing operational demands within the perioperative environment.

  • Promotes a collaborative, patient-centered culture by maintaining positive working relationships with physicians, office staff, anesthesia personnel, nursing staff, and other healthcare professionals.

Minimum Qualifications

Education:

  • High school diploma or equivalent required.

Experience:

  • Previous healthcare scheduling, unit secretary, operating room, or perioperative support experience preferred.

Licensure/Certification:

  • None required.

Knowledge, Skills, and Abilities:

  • Working knowledge of medical terminology and perioperative workflows.

  • Familiarity with operating room equipment, instrumentation, and surgical service lines preferred.

  • Strong organizational, multitasking, and prioritization skills with exceptional attention to detail.

  • Excellent verbal and written communication skills with the ability to interact professionally with physicians, staff, and external customers.

  • Proficiency in electronic scheduling systems and standard office technologies.

  • Ability to work effectively in a fast-paced environment while managing frequent interruptions and changing priorities.

  • Demonstrated commitment to teamwork, customer service, and operational excellence.
